Unpaid Sales Invoice posting to undeposited funds

I have a few unpaid sales invoices with multiple line-items.  No payments have been received against these invoices yet.

 

Some of the line-items are posting a debit to "Undeposited Funds" while the rest are posting to "Accounts Receivable", as they should.  The only thing unique about those lines posting to "Undeposited Funds" is I added them onto the invoices after I originally created them. 

 

How do I redirect those line items to "Accounts Receivable"?

You'll have to update the item's posting account information from the Products and Services menu in QuickBooks Online (QBO), @econnolly. This way, you can redirect your invoice's line items to the appropriate account (Accounts Receivable (A/R)).

 

Even though you've added some line items after creating an invoice, their posting account will depend on what's indicated in the Income account field of your product/services info. You may have posted them to the Undeposited Funds instead through an income account. 

 

To redirect your line items, here's how:

  1. Go to the Gear icon.
  2. Choose Products and services.
  3. Find the item or service you want to change.
  4. Select Edit in the Action column.
  5. Go to the Income account section and select the appropriate income account.
  6. Click Save and close

Updates should automatically be applied to both old and new transactions. You'll learn more about this process through this article: Change the account for a product/service item.

 

Once you're done, I'd recommend pulling up the Transaction Journal report. This is to verify that the account updates are implemented accordingly. Just open the invoice, then select the More option below. Please see the attached file for your reference.
