When customers have a credit, it would be nice to know when creating their next invoice so you can reduce the amount they have to pay.

When a customer submits their payment and they have a credit, it's too late to apply it. Why doesn't QBOL allow you to see that the customer has a credit so you can apply it to their next invoice?

It's a pleasure to have you as one of our newest members in our QuickBooks community, Sandy. I'm always excited to welcome fresh perspectives and ideas from our users, as it helps us continually improve our services. Your engagement with the community is truly appreciated, and we look forward to your contributions. Having the option to view your customer credits so you can apply them to their next invoices is indeed a great functionality.

You have the ability to view your customer's credits through their customer profile. If your customer have a negative open balance this indicates they also have credits. To review this, you can refer to the transactions status. I'll add an image for visual reference.

Additionally, you can enable the auto-apply credits feature. This functionality allows you to automatically apply your customer's credits to their open invoices, saving you time and reducing the risk of oversight in managing customer accounts. To provide you with more comprehensive details about the functions of this feature, I'll add the following information:

  • If you have older open invoices, QuickBooks applies the credit to the oldest open invoice. If none, QuickBooks applies the credit to the next invoice.
  • If the credit matches the amount on the invoice, the credit memo and invoice show as Closed. If the credit is less than the amount of the invoice, the credit memo shows as Closed, and the invoice shows as Partial.
  • If the credit is more than the amount of the oldest open invoice, QuickBooks applies the remainder to the next oldest open invoice. If there are no more open invoices, the status of the credit memo shows as Unapplied.
  • If you create a credit and your customer owes nothing, they’ll have a negative balance.
