I'll provide details on how the Receipts feature works in QuickBooks. Let’s work together to resolve this and ensure you can save your transaction entries, Joshua.

Before we begin, could you please share a screenshot of the transaction you are referring to? If you're referring to matching transactions, QuickBooks will suggest matches for the transactions you've recorded.

QuickBooks Online reads receipts, extracts data, and matches them to transactions automatically. QuickBooks will only automatically match a receipt to a transaction if both are added; otherwise, manual matching is required.

We have to review if they have the same date and amount. We’ll need to check to see if the QuickBooks Online transaction has already been matched to another one. Please also know that the program can only link the same type of transactions.

Here's how:

  1. Navigate to the Transactions section.
  2. Click on the Receipts tab.
  3. Find the suggested match and click the Review button under the ACTION column to confirm its accuracy.
  4. If it’s not a match, you can easily create a new expense from there.

Once done, you can proceed with matching your receipts.

I’ve included a screenshot below for your reference:

Additionally, I recommend reconciling your accounts regularly (ideally monthly) to track your business expenditures and keep your financial data current.

I'm here to help with any questions or concerns you have about managing receipts or bank transactions in QuickBooks Online. Just tag me in your reply, and I'll get back to you right away.

Attached is a picture from the Mobil app.

i snap receipt and it extracts the information.

however it does not have a button to allow me to save transaction as an expense that I can see. It is trying to have me link an existing transaction. I do not have my bank account hooked up nor do I want to.

this was much easier in the previous quickbooks self employed.

i am on iPhone and iPad for reference.

Recording transactions into your account ensures accuracy to your books, Joshua. Let me fill you in with details and help you manage these expenses.

When snapping receipts in QuickBooks Online, these entries won't automatically reflect on the For Review tab. You'll have to manually add or match the transactions first to ensure accurate recording in your account.

However, if there's no record found or transaction to match in QuickBooks, you can manually create an expense or bill entry.

In your iOS device, you can select Receipt and then create an Expense.

Additionally, to record these on a web browser, refer to these steps:

  1. Select Review to make corrections or add missing info.
  2. Then, click Save and Next.
  3. Once done, select Create Bill or Create Expense.

However, if the issue still persists, it's best to perform some troubleshooting steps to help reset the app data and refresh your device. To do this:

For iOS

  1. Go to Settings and tap General.
  2. Click iPhone Storage, then select the QuickBooks Online app.
  3. Tap Offload App. This will free up the storage without deleting your app's documents and data.

Morver, if you're using a QuickBooks Online product, you may upload your receipts from there. Also, for QuickBooks Self-Employed or Solopreneurs, you can record and track these expenses to your account.

Once everything comes in handy, refer to the steps shared by my colleague above when matching these transactions.

Furthermore, you can start reviewing your accounts in QBO or categorizing these entries to the correct line of your Schedule C to ensure the accuracy of your financial data.
