Why do I need to buy an expensive upgrade to UNDO items that did not transfer to the app/online versions properly?

I've been a user since 2004. A couple of years ago, I called Customer Service because it was getting expensive for my small business (with 1 employee) to upgrade. The solution was to upgrade to the desktop app, which is no longer supported (ended May, 2022). I am now in the lowest tier ($270/yr) of the cloud-based app. No problems there. When my company books were converted to the desktop app, all my "inactive clients" became active again. When I tried to make the inactive again, it says I have unbilled charges to those clients - which I do not. Those clients are from as far back as 2006. When I called customer service today, I was told that on my "lowest tier" of online QB, accounting using job numbers or individual profit per job tracking is not supported. Again, fine. But why did it UNDO YEARS of BOOKS? I now have 2-5 clients per year, and write checks to 3rd party suppliers as needed. WHY do I need to upgrade to $900/yr software to write a few checks and track 5 jobs? And I can do all that on a spreadsheet, but WHY did the current software UNDO old accounts that had been settled and how do I fix it without it costing me a fortune?

The old clients might have been activated during the conversion process. No worries, I'll share the steps on how to clean up your client list. 

 

You can run an unbilled report, Then, uncheck the billable box on each of the transaction so you can make the clients inactive again. Here's how:

 

  1. Go to the Reports menu and type in Unbilled Charges in the Search bar.
  2. Once you open the report, you will a list of all unbilled charges.
  3. Click on each one of them to open the transaction. 
  4. Look for the billable expense link and click on it.
  5. Uncheck the Billable box and click Save and close

Consider running the Condense Data utility to delete old data before converting it to QB Online. You'll secure the original company file (and backup file) as archives later. You can use the trial version for QB Desktop to open them in the future.

You will convert the condensed company file to the new QBO account. You cannot purge Simple Start and you must signup a new one. Don't forget to cancel the old one.

As an additional option, you can signup a separate Melio account for free to manage and pay your bills to vendors and contractors. You will register the transactions manually in Simple Start.
