Get 50% OFF QuickBooks for 3 months*
Buy nowWe have several QB files and use Desktop Pro Plus.
In only one of our companies we are forced to use the Record Deposits option when syncing our receivables software with QuickBooks.
All our deposits come into QB and are sent to the Undeposited Funds account. With one company file we are required to use the Record Deposit function to get the money out of Undeposited Funds and into the bank account. All our other companies do not require us to use the Record Deposits function. We merely transfer the deposit out of Undeposited Funds and into the proper bank account with a journal entry. Because of the way our receivables work this journal entry is the better option for us.
We've tried several settings in Preferences to try to 'turn off' the Record Deposits function but cannot seem to make it work. How can we shut this off so it is like the other companies and does not force us to use Record Deposits to get the money out of Undeposited Funds?
I understand this isn't an easy process for you, @K Jewett. I'll provide you with some ideas to help you avoid having to withdraw funds from your Undeposited Funds account.
Make sure to disable the Use Undeposited Funds as a default deposit to account option to prevent payments from going to the UF account automatically. Here's how:
That should do it! Also, see this guide on how to manage bank deposits in QuickBooks: Record and make bank deposits in QuickBooks Desktop.
Once everything is good, feel free to browse this additional module about resolving differences between balances in QBDT: Reconcile an account in QuickBooks Desktop.

Thanks for the response. We are OK with the money getting dumped into Undeposited Funds.
All our receipts get sent to Undeposited Funds from our receivable software for all the companies that we use and we are OK with that.
All but one company we are using a JE to transfer the funds out of Undeposited Funds and into the bank account. We prefer to do this method. For only one company we cannot do that. QB forces us to use the Record Deposits feature. We don't want to use the Record Deposit feature. We like to transfer the money from Undeposited Funds to the bank account. We cannot figure out how to 'shut off' whatever it is about that one company that is requiring us to use Record Deposits to bring the money from Undeposited Funds to the bank account.
