Reminder in Recurring Transactions

When entering a Recurring Transaction that was created as a Reminder. The system is not recognizing that the entry was made and the next date doesn't change. How can I correct this issue?

Reminder in Recurring Transactions

Hi there, @llcfinance.

 

Let me share insights on how the recurring transactions for reminders works in QuickBooks Online (QBO). 

 

Once your create a reminder, you'll have to manually reopen it and use it create a transaction. Here's how:

 

  1. Click the Gear icon and select Recurring transactions.
  2. Look for the reminder you've created, then click the ACTION drop-down list. 
  3. Choose Use and review the transaction. 
  4. When everything looks good, click Save and close.

Please take note that using a reminder won't automatically change the NEXT DATE. To update, you'll have to select Skip next date under the ACTION column.

Reminder in Recurring Transactions

Thank you for your help. I'm a little confusion why the remind feature doesn't work automatically to change the date. In QB desktop this feature works automatically. This helps to remind business each month what needs to be entered but when you have to manually change the date that causes an extra step to each transactions. I did notice that not all types of reminder transactions have the skip feature. The deposit and checks feature does but the bill or journal entry feature doesn't. So you have to open the transaction and manually change the date.

Reminder in Recurring Transactions

I have several recurring transactions that are expenses automatically debited from my checking each month.  On the desktop version, these REMINDERS would pop up when I entered QB and would ask if I want to record them now.  On the Online version, where does it pop up to remind me??  Do I have to look at the recurring transactions list in order to be reminded?  That seems like it defeats the purpose of a REMINDER, if I have to remember to go looking for it.  I want to add them to my checking balance BEFORE they actually hit my account so I don't overdraft.  (I am NOT connecting my bank to QBO)  I have been unbelievably frustrated with the switch from Desktop to QBO, this is just one of MANY frustrations.

I hear your sentiments, mbates9699. Let me help you locate Reminders on your recurring transactions in QuickBooks Online.

 

When creating recurring transactions, you'll have to ensure you've selected the Reminder type dropdown. Modify all the necessary information from the transaction, then, this would create a schedule to remind you. 

 

Once you get the reminder, you can find them through your company's Dashboard section. To do that:

 

  1. In your QuickBooks Online account, go to Get things done from the left menu.
  2. Click on the Tasks tab.
  3. Select Actions and click View Reminders.

Reminder in Recurring Transactions

Thank you for your response.  However, this is no comparison to the desktop version.  I have to remember to look for upcoming reminders, click to View Reminders, look over the list, click USE on the one I want to use, finish the transaction, then it still doesn't change the date for the next reminder.  How many steps is that?  On the desktop version, it was a popup and I simply had to click one time to add to my checking account.  Dumb.

I do use the QB Online Reminder List and it used to work that after you selected "Edit and Create" and saved, the next time you opened the reminder list (or refreshed) it would drop off so you know it was done. I have five companies set up on my QBO and two of them do this correctly (still) and three have stopped and I have to manually skip them to drop them off. It makes the Reminder List very useless for me and unfortunately I've started looking for alternatives. This is a great feature gone bad. (BTW I have called customer service three times and sit on the phone for an hour getting NO WHERE!! Don't love that.)

I completely agree with the previous posters. The reminder list and recurring transaction list in QBO is far inferior to QB Desktop and basically useless. This is an important feature and Intuit should make it work properly. It is one of the many reasons accountants hate QBO. When you use an item in the reminders list it should automatically advance to the next date. That is the whole point. Strangely, last week this was happening and this week it is not. Please fix.

Intuit, when you use the Reminders List and click Edit & Create for any of the recurring transactions it leaves that item on the Reminders List and does not advance the date to the next time it would recur. If you click create it does, however, that does not give you the opportunity to edit the transaction with the invoice #, period it cover, description, etc. In order to do that you have to take an extra step to go to the Vendor list and edit the transaction there. Not efficient use of time. Quickbooks Desktop does this feature perfectly. Please work on this. As you try to get more and more users to switch to QBO you will need to improve it greatly and get it to more closely mimic QBD.

I have the same issue.  It was working fine in July, then just stopped. Bring it back, otherwise, the reminder list is useless.

We transitioned to the online version early 2023. I set up all 5 of my companies the same way. Recurring “Reminder” Transactions for the monthly tenant invoices. 
The date would Always Advance and the transaction would disappear after the invoice was created. This function worked properly in the middle of April 2024. 
Today, just 1-month later (May 15th, 2024), the date no longer advances for the reminder. The reminder is not clearing off the list either, lastly, the payment terms is no longer set on due upon receipt, 
WHY did this change in the course of 1-month?

Do I need to recreate all my invoices as scheduled to get this date to advance and clear the remainder list?

Please acknowledge the fact that QB online made a change in the past month, and advise what I need to do to get these functions to return.

I understand that you have been experiencing some challenges with QuickBooks Online (QBO) Reminder in Recurring Transactions, and I am here to help you resolve this issue.

 

In regard to the issue with the reminder not clearing off the list and the payment terms no longer being set on due upon receipt, it seems that the date is not updating as expected.

 

We have received same reports about this issue. Our product engineers are currently gathering more information to further investigate about this case.

 

I recommend reaching out to our Customer Care Team, who can assign a representative to assist you with the process. They will be able to investigate the matter further and create a ticket if other users are experiencing the same issue. Here are the steps you can follow to get started: 

 

1. Access your QuickBooks Online (QBO) company, go to Help (?).

2. Choose either of these tabs:

  • Assistant tab and type Talk to a human.
  • Search the tab and click on Contact Us to connect with a support expert.

3. Select the preferred method of contact (phone or chat).

Reminder in Recurring Transactions

I completely agree with you and have been very frustrated with this feature.  The date should change once you select "use" and make the necessary changes, like the amount.   

 

It is completely useless and such and integral part of Quickbooks.  I have called and when you talk to support about this feature not working as it should they are clearly scripted to put you on hold forever and talk to a manager that advises them eventually to say it working as designed.

 

I have resorted to changing to scheduled transactions and the sending me an email through workflow that it has been created as a reminder work around that the transaction needs modification.   But this is very flawed as well.
