Reoccurring Verify Data Error in Quickbooks 2023 Desktop for Mac

I am entering a number of new customers with new invoices into QB 2023 Desktop for Mac. All customers are saved, invoices entered and saved, memorized invoices are entered and saved. I close Quickbooks and reopen to have memorized invoices updated and the file only saves 3/4 of my work. Go to Verify Data, get an error. Rebuild Data and it is fixed. Click Verify Data immediately again, no issues. I enter more customers and more invoices, close Quickbooks, reopen and again, another 1/4 of my work is no longer there. I go to Verify Data and get an error message again. This keeps happening over and over.  I am not sure why.

Install QB Desktop 2024 and replicate your work. If the same problem persists, your company file is damaged. Consider to purchase a 3rd party file repair service.

Making sure you're able to see the recent customers and invoices you've created is essential to get proper recording in managing your books. Since you're having issues with your QuickBooks Desktop (QBDT) program about saving this information, ensure that it is updated to the latest release so you have the updated components and fixes. If verified, let's rebuild your file three times to fix the issue.

 

If the same thing happens, you can uninstall and reinstall your program to refresh it. For detailed instructions, check out this article: Reinstall QuickBooks for Mac using clean install. 

 

However, if the issues still persists, I recommend reaching out to our Data Services team to perform further investigation in checking your program.

A save call goes out after each update of a record (customer or invoice for instance).  So the file should never lose more than a single record (if it were to fail during recording of a single record).

 

That makes me wonder what is going on.  Are you absolutely certain that the file you are opening is the same one you just finished editing? A common error we've seen is someone has several copies of their company file and they enter information in one and then later open an older version which makes it appear as though data has been lost.  Help->Product Info will show you where on the disk your current file is stored.  Take a screen shot of that or make a note of it and when data appears to have gone missing check again and see if they are same.

Also where are you storing the company file?  If it is being stored over a network file system the problem may be the file system itself.  Its not a good idea to store the file on another computer or in Dropbox or on a NAS device as these file systems often are not compatible with Apple's Core Data.  If you have stored it somewhere like this (or even a USB Key formatted with DOS)  try storing the company file on your local computer's drive (Preferably an SSD).

Thank you for responding. I only have 2 QB files in my Quickbooks file. One is a non-profit that I keep the books for, and then this HOA I am doing the books for. I have never had this issue before and I used to keep the books for several associations. I hate to start this file over again, I spent days inputting all of the homeowners of this huge complex.

Well its definitely strange. We can look into it if you submit a QuickBooks->Feedback request in the product and provide a link to this article and say that you are losing data.  I'll ask someone to email you to get log files and such to investigate.

Oh my goodness, please yes, tell me how to fix it. Can you please have a tech person help me fix it? There does not seem to be any way to get ahold of someone. This is a new company that I started from scratch and typed in all the customers and all the invoices (they did not have any books to import in any form, so I had to do it by hand) and now I am nervous that when I receive HOA payments from these 120 homeowners every month, I am going to have to retype all the data every month. People have said by 2024 QB, but I just bought 2023, and don't want to have to spend more money if I don't have to. I entered 15 months' worth of payables yesterday (took me 10 hours) and I am not confident that the data is accurate. I would love love love to be confident in this company file. Thank you so much!!

I have not yet because I just purchased 2023 and did not want to have to spend a few hundred dollars on 2024 if that is not going to work. I will try it eventually if I have to.

In QuickBooks choose the QuickBooks->QuickBooks Feedback menu option. Then copy a link to this discussion into the message. This will give us a way to reach out to you to get system reports and the like.  Its very unusual for a company file to lose data (I don't know how that is possible so we'll have to investigate a bit).

 

Also if you have QuickBooks Mac 2023 you should have a subscription so you should be able to update to the 2024 version via the Help->Upgrade menu option for free. But first lets see if we can figure out what is happening in 2023.
