Sharing Attached Files with Accountant

Using Enterprise 23.0. I attached all of my invoices and supporting documents to my accounts, vendors, and customers for each transaction.  When I shared my backup file with my accountant, they said that none of the documentation was attached to the file.  How do I share my Quickbook file and all supporting documentation from the transactions and document center with my accountant?

It's good to see you here in the Community, @St Paul.

I'll share some information on how attachments work with regard to the backup feature.

Currently, QuickBooks doesn't include attached documents when you create or share a backup file. In your case, you'll need to make a copy of the Attach folder which can be found in the same location as your QuickBooks company file. Then, you can send the backup file and a copy of the Attach folder to your accountant.

You may want to learn about QuickBooks Document Center. You can check out this article: QuickBooks Document Center: FAQs and common issues. This includes troubleshooting steps for common issues like missing attached documents, issues with scanning or attaching documents, or being unable to email transactions or send forms.

Don't hesitate to leave a comment below if you need more assistance about this, @St Paul. I'll be around to help.

Actually I am transferring data from one laptop to another.  I do not see the “attach” file where the company files are.  Just .dx and .nd I believe.  I have scanned documents attached in all my companies.  Help!!!

We're glad you've come into this thread, CGK2023. Let me help you move your QuickBooks data from one device to another computer.

As shared by my colleague above, when transferring backup copies of your company files, this doesn't automatically include or move your attachments to the new device. You'll need to manually copy the attachment folder from the file location where your company data are saved on your old laptop. Then, restore or move its copy to the new existing device.

Thus, to ensure your attachments are maintained, when you restore a backup, paste the Attach folder into the same location as your restored company file in the new computer and ensure attachment file names weren't changed. If you encounter issues when attached documents are missing, you can perform the necessary fixes outlined in this guide: QuickBooks Document Center: FAQs and common issues.

Then, you can refer to this article for more detailed insights when moving your data seamlessly: Move your company files to another computer.

Moreover, I've included this reference to help you fix possible minor data issues on your books: Fix data damage on your QuickBooks Desktop company file.

We can always respond to any additional queries you may have when managing your accounting data. Feel free to leave them in the comments below. Keep safe and have a good one!
