The account called "Undeposited Funds" is missing from both the Chart of Accounts and Receive Payment dropdown. How can I fix this?

This has caused issues when in the "receive payment" screen as we try to record cash payments. We have a bank reconciling problem now where the received payment is doubling up in the bank balance because the actual bank deposit is showing up as well as each received payment.

Hello, @9Pines-Info. I can explain why the Undeposited Fund account isn't showing in QuickBooks' Chart of Accounts and Receive Payments drop-down.

 

In QuickBooks Online, the Undeposited Funds (UF) account is named Payments to Deposit. This is why it doesn't appear in the Chart of Accounts and Receive Payments sections when you search it. I've attached some screenshots for visual references:


 

To edit your invoice payment transactions, you can follow these steps:

 

  1. Go to the Sales menu and then select All Sales.
  2. From the Type drop-down, choose Money Received.

  3. Click View/Edit from the Action column.
  4. In the Deposit To field, select Payments to deposit.
  5. Hit Save and close.

After adding those payments to Undeposited Funds, you have the option to use the Bank Deposit feature. This allows you to combine multiple invoice payments into a single deposit entry in the bank register or match them with online banking transactions, helping to avoid duplicate records.
