We have had a payroll subscription for 20+ years. We opened a new entity last year (different name and FEIN) and have a QB company file for the new entity. Same Intuit account and email for both companies. We want to start processing payroll in the new entity/company file starting 2nd Qtr 2026 (April 3,2026). I believe I can transfer the subscription by turning payroll off in the old company (edit-preferences-payroll-no payroll) and turn on payroll in the new company (edit-preferences-payroll-full payroll). Can someone verify that this is correct?
Also, since we are changing companies during the fiscal year, I will need to process the payroll forms for the 1st Qtr 2026 in the old company, and process/print W2s in January 2027. Will I be able to do go back and do that once I turn payroll off? Note: I cannot enter all the employee's 1st Qtr YTD wages in the new company because the new company has a new FEIN and the 1st Qtr paychecks and taxes were all paid under the old company name/FEIN so they have to be separate.
Thanks in advance for help with this. I did try calling Intuit customer service and they were not really understanding what I was asking, so I asked for a payroll specific customer service number, and when I called it there was message that you could no longer talk to a live person! So if anyone has a live person active number I can call that would be helpful.

You can use a single payroll subscription to process payroll for multiple companies with different EINs. Each QuickBooks Desktop Payroll service can have up to three EINs
Regarding your QB Desktop license, you can get a $300 cashback if you renew your license through a reseller and want to reduce the cost.
When is your QB Desktop license renewal date this year?
As I know, you don't need to transfer any of your license. You can manage up to 3 company files with the same Enhanced Payroll subscription.
Renews in May. And no, I did not know I could run payrolls in more than one company with one subscription! Thank you for that info! So I don't have to turn off payroll in the old company, I can just turn on payroll in the new company and be good to go?

Thank you so so much for the info. That answers all my questions. These boards are invaluable. Have a great day!
