Triggering notifications based on account balance

I'm looking for a way that I can automate notifications if a specific account reaches a $ amount threshold. I doubt basic QB online is flexible enough to do this, but I'm open to cracking open the developer tools and coding it myself.

Basically, I want to build a rule where a notification email is sent to either myself or others if the account balance of an expense account reaches a certain $ amount. I don't want to be constantly flipping between screens to review the account as I confirm transactions and constantly monitoring it, then to export reports and send to my employees. How would I go about setting this up?

Never thought about it but this is definitely a value-added feature.

 

You have couple of options here, both outside QBO.

 

1) Use Zapier + Google Sheets to keep track of running balance for an account and trigger email.

 

2) Use google apps script to pull account balance and trigger email. (more complex)

QuickBooks Online doesn't offer a built-in feature specifically designed for setting threshold alerts or custom rules for account balances. However, we can send direct feedback to our product engineers to consider this in the future:

However, this functionality is not available in QBO, I recommend submitting direct feedback to our product engineers: 
 

  1. Go to the Gear icon at the top.
  2. Select Feedback.
  3. Type in your feedback and product suggestions.
  4. Click Next to submit them.

While waiting for potential product enhancements, consider looking for a third-party app that offers the capabilities of your needs for automating notifications based on account balances:

1. Go to Apps.
2. Then, Find apps. 
3. Search for an application that fits your business needs.

On the other hand, you have the capability to create custom reports that showcase your account balances with QBO Advanced. You can also set these custom reports to be automatically sent to your employees, thereby eliminating the need for manual exporting and distribution.

Here's how: 
 

  1. Sign in to your account.
  2. Go to Reports, then select Custom reports.
  3. Find the report you'd like to schedule for email.
  4. In the Action column, select Edit ✎, then turn on Set email schedule.
  5. Set the email recurrence, and enter the email information.
    Note: To send the report as an Excel file, select Attach the report as an Excel file checkbox.
  6. Select Save or Save and close.

Im actually working on an app for this called Lunova. We're currently in the middle of the QB App Store approval

process.
