Unable to convert .qba to .qby

I am the bookkeeper at a CPA firm.  I opened a client's Accountant's Copy (.qba extension), but am unable to export changes.

Send Company File -> Accountant's Copy -> Client Activities ->

Options are all greyed and unavailable.  They are:

Save File

Send to Accountant

Import Accountant's Changes from file / web

Remove Restrictions

I have confirmed the file I opened says "Acct Copy div date 7/31/24", so unsure why I am seeing these options?

The file you’ve opened means that your client has limited changes they can make while you, as their accountant, are working on the file, @KJ_Leeds.

To begin, the reason your client's Accountant’s Copy is greyed out is due to file damage. To resolve this, we’ll need to update your QBDT to the latest release to ensure you have access to the latest features and product improvements.

Step 2: Make sure the accountant's changes are saved on the computer you use for QuickBooks. If not, move or copy the file to a local folder before going to Step 3.

Step 3: Check for data damage on your QBDT company file. Here’s how:

  1. Go to the File menu, then hover over Utilities and select Rebuild Data.
  2. On the QuickBooks Information window, select OK. Follow the onscreen steps to save a backup.
  3. Let the tool repair your file. It may take some time. QuickBooks may seem stuck, but as long as you can move your mouse, the tool is working.
  4. When the tool finishes, select OK.
  5. Go to the File menu. Then hover over Utilities and select Verify Data.
  6. Let the tool check your file for data issues.
  • If QuickBooks reports no issues, select OK, and you can continue using your company file without concern.
  • If an issue is detected, click Rebuild Now to address the problem.

After verifying and resolving any data damage, try exporting or saving the accountant’s changes as a PDF file again.
