Uploading bills

I'm trying to create a bill that will easily upload into QBO.  I need it to include multiple lines of item details.  Including product, description, qty, rate, customer/project, and class. Is there a template that I can use?

Thank you for reaching out regarding creating a bill that will easily upload in QuickBooks Online (QBO), Sflesher. Let me share with you some steps that will help you.

When uploading an image of a bill, you don't need any template. However, there are things to be considered to ensure a successful import. Please check out the pointers I've listed below:

  • Make sure the picture is clear and doesn't contain sensitive or personal info, like credit card numbers.
  • The supported formats are PDF, JPEG, JPG, GIF, and PNG images. If you have HEIC images from a newer iPhone or iPad, you can convert HEIC images to a compatible format.
  • Receipt snap only supports the home currency.

Once you're ready, follow the steps in this article to upload the bill: Upload your receipts and bills to QuickBooks Online.

On the other hand, if you're looking to upload your bill using an Excel file. This functionality is currently unavailable in QBO. You'll want to consider visiting our app market or head to the Apps menu within your QuickBooks company to search for an importer tool. Note that the third-party provider will be the one to provide you with the template to use.

Uploading bills

I'm looking to upload a bill on a monthly basis.  So the QBO is already setup and we have all of our historical data already uploaded.  But we have a sister company that sends us a bill every month for time worked on projects.  We detail out the product/service and customer under the item details for each month.  I was looking for an easy way to upload that information instead of having to hand key it.  The bills are usually 20 plus lines long and hand keying gets tedious.

The ability to upload bills every month without manual entry would be great, Sflesher.

QuickBooks Online has a feature that allows you to upload documents of bills. This feature helps extract information from the bill and creates transactions for you to review.

  1. In your QBO Online account, go to Expenses.
  2. Select Bills.
  3. From the Add bill dropdown, select Upload from the computer.
  4. Drag and drop files into the Upload or select the Upload button to choose files on your computer.

If the bill is the same every month, you can create a recurring bill by following these steps:

  1. Go to Settings.
  2. In the Lists column, select Recurring transactions.
  3. Click New.
  4. Choose bill for the type of transaction you want to create, and then select OK. Enter a Template name.
  5. Select a Type: Scheduled, Reminder, or Unscheduled.
