US Based Email Server

Hello! 

 

95% of our customers are Schools/ISDs/Colleges/Universities all over the United States.  Some of them have strict email standards, one of them is my emails must come from a US based server.  I have been on chat for tooooo long & too many times with QBO, and can get no where. 

My invoice emails aren't getting to some customers and I don't know who until they are late w payment.  I WISH I had time to go through every email I send. The other issue...QBO has a message that says "can't send this email". No matter what I do, they will not go through.  I have to send to myself and forward from there.  This is NOT time efficient and is not fair to my customers. Any ideas?  I'd really appreciate the help.

Use Your Own Email Address Instead of QuickBooks’ Email System,

Right now, QuickBooks is sending your invoices using its own email system.
Some schools and universities in the U.S. block these emails, because they only accept emails that come from trusted U.S. addresses.

So the idea is:

Stop using QuickBooks’ email system.
Make QuickBooks send invoices using your email address instead.

This way:

  • Schools recognize your email as safe
  • Emails don’t get blocked
  • Invoices land in the inbox, not spam
  • You don’t have to send invoices to yourself and forward manually

 

When QuickBooks sends invoices using your real email address, two things happen:

  1. Your customers’ email systems trust the message more, because it comes from a known sender (you).
  2. QuickBooks becomes only a “helper” — it prepares the invoice, but the sending happens through your email, not their servers.

This solves 90% of “email not delivered / email blocked issues for U.S. schools.

 

Do this inside QuickBooks:

  1. Open QuickBooks Online
  2. Click the Gear Icon (⚙)
  3. Select Account and Settings
  4. Go to Sales
  5. Scroll to the Messages section
  6. Find “Email options for invoices”
  7. Choose: “Use my own email address”
  8. QuickBooks will send you a verification link
  9. Click the link → Done

Now every invoice QuickBooks sends will look like YOU sent it personally.
