Hey! I am using Quick books enterprice Solution Accountant Edition 15.0 and I really want help.
I want to give my users limited access. I want to show them limited customers, limited vendors, limited accounts, limited reports, limited inventory. So the users can only see and work on that data that I showed or give access to them. Is there any solution for it or I have to use any other version of Quickbook in which this feature is available. Thanks!
Hello there, @Aoun ABbas.
Yes, you can limit your users' access in QuickBooks Enterprise Solutions (QBES). However, you'll have to use another version of the program to utilize the feature you need. Let me share further insights about this.
With QBES, you can set different data level permissions for a user's job role. This way, you can give access to only the areas of QuickBooks a user needs to do their job. However, this feature is only available using QuickBooks Desktop (QBDT) Enterprise Platinum, Diamond, and Accountant 21.0 versions.
If you wish to explore which version of QuickBooks Enterprise fits your business needs, you can check out this page: QuickBooks Enterprise customized pricing.
Then, you can read this article to learn more about data level permissions in QuickBooks Enterprise: Create data level permissions in QuickBooks Desktop Enterprise.
Also, you may want to check out one of our Help pages as your reference in managing your QuickBooks account: QuickBooks Account Management. It includes topics about user and subscription management and data security, to name a few.
Let me know if you have other concerns about managing users and data-level permissions in QBDT. I'm always ready to help. Take care, and I wish you continued success, @Aoun ABbas.
QuickBooks Enterprise 2021 and later version allow admins greater control over creating and customizing different data level permissions for users’ job roles. With this feature, admins can give users access to only the areas of QuickBooks needed to do their job and no more. For example, you can give a sales rep access to create invoices or email customers only within their area’s customer group or access only the vendors a certain employee works with. By enabling more granular security for accessing and editing specific customer and vendor records, you can ensure greater security and control over your QuickBooks company file. If you are not located in the US, you can purchase a new license to upgrade your version through a partner/reseller without a credit card.
