We've got some details to share on how recurring invoices work in QuickBooks Online (QBO), Bottieri.
In QBO, invoices are associated with customers, and they can be linked to specific accounts, line income accounts, or product/service accounts. However, the option to enter an account number is unavailable in the recurring invoice. Alternatively, we can enter an account number manually in a custom field or description when creating an invoice. Here's how to add a custom field:
- Go to the Gear icon on the top menu and select Custom fields.
- Click Add field. If this is your first time creating a custom field, tap Add custom field.
- Enter a name in the Name field.
- Choose the Data type dropdown for the type of custom field.
- Select the category, whether it’s Customer, Transaction, Vendor, or Project.
- In Select forms, tick the checkbox of the form/forms you want the custom field on.
- Press Save.
On the other hand, when creating a recurring or one-time invoice, the account typically refers to the income account where the sales are recorded. This is determined by the products/services linked to the line items on the invoice. If you need to change the account and update it to the correct one, follow the steps below:
- Go to the Gear icon on the top menu and select Products and services.
- Find the item and click Edit.
- From the Income account dropdown, choose the account you want to use. If you can't see the account, ensure the account's detail type is Sales of Product Income.
- Press Save and close.
