Why are my estimates to gmail address and government address getting bounced?

Many estimates sent to gmail address or government addresses such as .mil, .gov, FBI, state, police, agencies are getting bounced and not even making it through. What can I do to fix this?

Why are my estimates to gmail address and government address getting bounced?

Let’s go through some troubleshooting steps to successfully send your estimates in QuickBooks Online (QBO), Marco.

An email bounces or doesn't reach the person who got it if the email address is wrong or the email server is having a temporary problem. Ensure you associate the correct email address with each of your customer accounts. Then, you can ask your customers to check their junk mail and spam folders. If the email is still not found, clear it and then re-enter your email address in the program. Here’s how:

  1. Go to Settings  and select Account and Settings.
  2. Go to the Company section and click Edit in Contact info.
  3. Clear the Company email field and enter the desired address as is, even if it appears correct. Be sure not to use any extra characters or spaces before, within, or after the address you enter.
  4. Press Save, then Done.

Then, send yourself a test transaction. If you still don't receive the email, try using a different email address that has a different domain. In the event the email bounces, the recipient's email service sends a failure or delivery error notification to your email service. If the delivery failure error is sent to us by your email service provider, a notification is added to the transaction stating that the email delivery failed. You can check out this article for more details: View list of bounced emails with delivery errors.

If the same thing happens, ask an IT expert to add the QBO mail server host names and IP addresses to your outgoing mail servers' allow list. This is so your QuickBooks emails aren't mistakenly marked as spam. To learn more about this one, check out this article: Troubleshoot if customers aren't receiving emails from QuickBooks Online.
