Cannot connect to Quickbooks Payments in Desktop

I cannot get my Desktop connected to QB Payments.  I followed the directions to link payment service to company file.  It tells me I need admin approval.  I AM the admin.

I also cannot log in to my merchant account.  It says there is not one associated with my account.

Cannot connect to Quickbooks Payments in Desktop

I appreciate the efforts you've put in to link your QuickBooks Desktop to QuickBooks Payments. Rest assured, I'll help you verify your credentials by logging into the Merchant Service Center using the web. I will also provide troubleshooting steps and recommendations to ensure a successful connection.

Let's start by making sure you’re signed in as an admin in your company file. Alternatively, you can access the Merchant Service Center on the website. Ensure to enter the correct Intuit ID and password.

Once you have successfully logged in, follow the steps below to troubleshoot the connection issues in QuickBooks Desktop.

First, let's clear the Authentication ID from your company file. Here's how to do that:

  1. With your company file open, press F2, then Ctrl + A.
  2. When you see the prompt to clear your Authentication ID, click Yes.

Next, you'll need to reset your Intuit ID settings:

  1. Select Help from the menu.
  2. Navigate to Reset Intuit ID settings.
  3. When prompted, confirm by clicking Yes, and then hit OK.

Finally, close your QuickBooks account and reopen it. After doing that, try linking your payments again.

In addition to this, I’m sharing a resource that explains when your deposits will show up in QuickBooks Payments: Take and Process Payments in QuickBooks Desktop. This guide gives you tips on handling payments as you manage transactions in the future.

If you have questions or need further clarifications about linking your QuickBooks Payments to Desktop or accessing your Merchant account, feel free to drop a comment below. I’ll make sure to keep this thread open so my team and I can get back to you as soon as possible. Have a great day!

Make sure you are signed in as admin in the company file. Also, try signing in on the web using your Intuit payment merchant id. If un-successful speak with the merchant service team they will help you.

Thanks for the reply.  When I go to reset my ID, it tells me by resetting I am going to lose access to my intuit users & their associated roles.  What does this mean?  As admin, I can't lose anything!

Also, I cannot log in to the merchant account website because it keeps telling me I dont have an account.

Thanks for following up with the Community, amontford.

If you're transferring your QuickBooks Payments account to another company file, you'll need to select Transfer, then Yes, transfer. In the event you're not transferring a payments account to another company file, then you would select Connect.

The message you encountered likely has something to do with the steps above if it appeared while connecting a payments account to your company file. You can refer to our Connect your QuickBooks Payments account article for more information on this process.

If you're unable to sign in to your Intuit Account, you can refer to the steps in our Recover your Intuit Account if you can’t sign in article.

In the event you're still unable to get connected, you'll want to get in touch with our Customer Care team. They'll be able to pull up your account in a secure environment, conduct further research with you, and initiate an investigation ticket if necessary.

I'll be here to help if there's any additional questions. Have an awesome Monday!

My question about the above is this-

When I go to reset my ID, it tells me by resetting I am going to lose access to my intuit users & their associated roles.  What does this mean?  As admin, I can't lose anything!

When you reset your ID, it usually refers to changing your primary login credentials, @savAM. However, as an admin, you should not lose access to your account. Allow me to explain further.

The warning about losing access to your Intuit users and their associated roles means that if you proceed with the reset, any users you've granted access to your account may be removed or their roles may change. It is a precaution to ensure that only the primary account holder retains control. It's important to confirm your admin role after the reset.

Also, If you cannot log into your merchant account and are getting messages that you don’t have an account, it may mean a couple of things.

  • You might be using the wrong login credentials (username or password), or your merchant account may not have been set up properly.
  • Double-check that you're using the correct site for your merchant account, and verify your details.

After verifying, if you still have trouble logging in, I recommend contacting our merchant support directly. They can help you verify if your account is active, assist you in recovering your login information, and clarify how you can reset your ID without losing access to your users. Here's how to contact them:

  1. Open QuickBooks Desktop.
  2. Go to Help, then select QuickBooks Desktop/Contact Us.
  3. Enter the question, keyword, or topic you need help with.

Moreover, by
managing users and their permissions, your businesses can protect sensitive financial information. This ensures that only authorized personnel have access to your financial data, reducing the risk of data breaches or unauthorized transactions.

Managing your ID and addressing any login issues are essential for maintaining overall control, security, and efficiency in your financial operations with QuickBooks Desktop, @savAM. This ensures that you and your team have uninterrupted access to the necessary tools and information. Please click the reply button below for further assistance. Stay safe.

This worked!  I was hesitant to reset my admin ID, because I was afraid that something would get messed up.  But it worked & my payments account is now connected.  Thank you
