Accidentally paid the same pay period twice

Hi all,

 

We're using QB Premier with Enhanced Payroll. Today, I realized that the payroll check I printed yesterday was for 2 weeks ago, which was already paid. So, I haven't paid for last week, but have paid twice for the previous week.

 

Both checks have already been deposited, so what's the easiest way to fix this? Is there some way I can change the payment to apply to this week instead? One further complication is that the amounts for the two paychecks are not the same - the one I double paid is a larger amount than the one that I should have paid.

Accidentally paid the same pay period twice

We can create a deduction item to apply to your next paycheck @rjmmusic. This will help ensure everything is accurate moving forward. I’d be glad to navigate you through this process in QuickBooks Desktop (QBDT).

 

Given that the double payment is a larger amount, a deduction item will allow you to gradually recoup the overpaid funds while keeping your payroll records straightforward and compliant. To create a payroll item, here's how:

 

  1. Navigate to the Lists menu, then Payroll Item List.
  2. Click the Payroll Item button, then New.
  3. Select Custom Setup, then Next.
  4. Choose Deduction, then Next.

  5. Enter the name of the payroll item, then Next.
  6. In the Liability account field, enter the same expense account used for the original compensation item, then Next.
  7. Select a tax tracking type of Compensation and click Next twice.  
  8. If the employee is paid hourly, select Calculate this item based on Quantity, or select Neither if the employee is salaried. Click Next, then Finish.  

 

After that, let's apply the new deduction payroll item to the next paycheck, and then enter the amount.
