Customer payment

If I know a customer is going to pay by check (or cash) in person do I still need to create an invoice?

I am glad you're here, @tonetone.

I understand how important it is to create an invoice. If I receive a full amount in cash or on the spot. I would create a sales receipt since invoice is use only if you want your customer to pay later . If the full payment has been received at the time of sale, we'll have to use sales receipts. Payments of cash, checks, or credit cards are included in sales receipts. I'll share ways to create a receipt for your customer's payment in QuickBooks Online (QBO).

Here's how:

  1. Select  New, then hit  Sales receipt.
  2. From the Customer  dropdown, choose a customer.
  3. Note: If you still haven't set up a customer, click + Add new.
  4. From the Select a product/service dropdown, Click on a product or service that you've sold.
  5. (Optional) The Qty and Rate field may be used to edit the quantity or rate of a line item.
  6.  In the sales record, fill in any additional required fields and then select Save.

Thank you so much for your response!

Is this the same thing I do when I know a customer will be paying with a credit card through  square in person?

Thanks for getting back on this thread, @tonetone.

Yes, we can create a sales receipt if the customer pays with a credit card through Square. You can follow the steps provided by my colleague above, and you'll have to enter Credit Card as the payment method and Square in the Deposit to field.
