Hi,
We just created a check for a vendor and noticed that the check name was updated to a random person and the address had been changed to 'null' in all fields. I searched the audit log and found that the vendor appeared in our audit log, showing they made changes to their vendor account recently.
How can they do this?
How do we switch this feature off?
How can we be alerted in future if this feature cannot be switched off?
Thanks
Caroline
Hello @Caroline1,
Thank you for posting here in the Community. I'm here to assist you with your concern about updating the vendor profile in QuickBooks Online.
You can invite contractors to complete their profile and submit a signed W-9 online anytime in QuickBooks. This feature encrypts the sensitive tax info so they can fill it up on your behalf (see screenshot below).
They’ll either log in with an existing Intuit account if they have one or create a free account to update the tax info with you. The option to switch it off or get an alert is unavailable. Check out this link for more information about it: Invite a contractor to add their own tax info.
You can also open this article for additional reference when preparing your Federal 1099s: Create and file 1099s using QuickBooks Online.
If you have any other follow-up questions about resending the contractor's invitation, please let me know by adding a comment below. I'm more than happy to help. Have a good one.
Hi,
Thanks for the info. In this case we haven't invited any vendors to connect that we know of. We did use Intuit to create our 1099's this year. Maybe that automatically invited the vendors? If so, there is now no way to disconnect that 'relationship' to prevent Vendors updating their own information.
Allow me to share details to help with your questions about user access, Caroline1.
The invite will only let the vendor enter their W-9 information and grant them access to view their 1099 as well. It will not give them the permission to edit or update any information in the data base.
You'll want to check if the vendor was added as user in your QBO account. Here's how:
Let me share this article for more details: Add and Manage Users in QuickBooks Online.

Don't hesitate to keep us posted and share updates if you're able to delete the vendor access. You can also ask follow-up questions if you need anything else.
