Importing an invoice file to pay bills

Is there any way to import a file such as excel or IIF to pay bills/invoices?  I will have several invoices from another software package, and I would like to know how I can import them into QB Desktop without typing them all in by hand.

I'd like to clarify some details about importing files to pay bills. Are you referring to importing your regular bills from the other software? If so, yes, we can move them into QuickBooks Desktop using an IIF or Excel file. Doing this can make the process easy for you to duplicate your records from both software.

 

Although there's no need for you to re-type or enter these bills one by one, you'll still need to manually record every bill payment if these haven't been paid from the other software.

 

To get things started, we can download and install the IIF import kit to save time and improve results. Before we start, back up your company file to reinstate your accounting data in case you run into a problem.

 

Let's proceed with the steps below to download the IIF import kit;

 

  1. Download the kit here. Then, select Save to download the IIF_Import_Kit.zip file to your device.
  2. Utilize a compatible file compression to extract contents from the file. After that, this will be extracted automatically into a sub-folder named .IIF Import Kit.
  3. Open the folder to view its contents.

 

You can also opt for importing an Excel file, and the same with IIF files, we'll need to utilize a Microsoft Excel and CSV file import kit for the same purpose.

 

Once you have sorted out your files, we can begin importing them into the application through the steps below:

 

  1. Open your company file as an admin. Take note that if you’re in Multi-user mode, go to the File menu, then select Switch to Single-user Mode.
  2. In the File menu, select Utilities. Then, click Import.
  3. From there, select Import IIF.
  4. Select the IIF file you want to import, then select Open.
  5. Lastly, click OK to confirm the import.

Is there a way to find out if this was IIF download was already done?  I think someone used it before with our system prior to my arrival.

If you're having trouble finding your imported IIF files, don't worry! I'm here to help you, Steve.

 

To help you locate them, you can simply check the respective lists tabs such as Charts of Accounts, Customer Lists, or Vendor Lists. Another way to find them is by pulling up reports like Profit and Loss and Balance Sheet report. By organizing your files this way, you'll be able to keep track of them much more easily.
