Invoice Description and Rates

I just switched to QBO. When creating an invoice, the description and rate do not automatically show up. (I have added a generic description and rates for all my clients)

Invoice Description and Rates

When selecting Products and Services items while creating invoices in QuickBooks Online (QBO), the rate and description automatically populate. Since you mentioned you have recently switched to QBO, we can review the product and service items to ensure they are displayed correctly. Let me provide you a detailed step-by-step guide to assist you further with this process, manni

Before we proceed, may I confirm if you migrated from QuickBooks Desktop to QBO? If so, it is possible that due to the migration process, the description and rate may not appear correctly when you select the item.

To address this, we can review your migrated data. This will help us verify if the rate and description have been successfully carried over to QBO and refresh your data.

Please follow the steps outlined below:

  1. Navigate to the Sales menu.
  2. Select Products and Services.
  3. Choose the item you want to review.
  4. Click on Edit.
  5. Ensure the information is inputted correctly.
  6. Once completed, click Save and Close.

You can check this article for detailed guidance in setting up product and services in QBO, to properly track your sales: Add product and service items to QuickBooks Online.

After confirming that the data has been allocated correctly, we can proceed with some basic troubleshooting steps. Often, these issues may be caused by outdated cached files in your web browser. To start, please access your QBO account using a private or incognito tab and create sample invoices.

Below are the keyboard shortcuts for opening a private or incognito tab:

  • Google Chrome: Ctrl + Shift + N
  • Microsoft Edge: Ctrl + Shift + N
  • Safari: Command + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P

Once you've gone through these steps, please clear your browser cache. This action will help remove any data that may have built up. Next, please refresh your browser tab. After completing these actions, try logging into your account using your main browser. If the issue persists, please consider switching to another supported browser for QuickBooks Online.

Moreover, you can check this article on how to properly receive payments in QBO: Record invoice payments in QuickBooks Online.
