Invoice Table Formatting Customization

I would like to be able to format my invoices with:

  • Merged line items for subheaders
  • Descriptions for subtotals
  • A way to collapse multiple expenses into one summary line item (while still linking expenses). For instance, it would be great to have one sum to represent all of the reimbursable meal charges for a trip (subtotals are halfway there, but the invoices often provide more detail than desired for an invoice, a more detailed report is provided separately).
  • Failing everything else, a method of downloading and formatting an invoice outside of Quickbooks

For example, I'd like to be able to include the differently colored features in the following table.

DateActivityQtyRateAmount Charged
<---------------------

Services

(section subtitle)

--------------------------------------------------------------------------------------------->
xx/xx/xxxxServices4 days$400/day$$
<------------------------------------------------subtot descr:Service Subtot>Subtotal: $$
<---------------------

Travel Expenses

(section subtitle)

---------------------------------------------------------------------------------------------->
xx/xx/xxxx

Airfare

(collapsible item)

$$ (sum of collapsed items in category)
xx/xx/xxxx

Lodging

(collapsible item)

$$ (sum of collapsed items in category)
 Meals
(collapsible item)
$$ (sum of collapsed items in category)
xx/xx/xxxxMeal 1  $$ <row collapsible under "Meals"
xx/xx/xxxxMeal 2  $$<row collapsible under "Meals"
xx/xx/xxxxMeal 3  $$<row collapsible under "Meals"
<------------------------------------------------subtot descr:Travel Subtotal>Subtotal: $$

I'm willing to do some work through another app to be able to format things this way. Are any of these things are possible? How would I go about it?

Invoice Table Formatting Customization

Adding these formats is a great functionality, sbecker.

As of now, we're unable to add these layouts in QuickBooks Online. As a workaround, you can browse our QuickBooks Apps website to search for a third-party application that you can utilize with the program.

Then, import your invoices into QuickBooks. Make sure your template fields match the program. You can download our import guide to ensure the formats are correct.

I'd also recommend sending feedback to our Product Development team. This helps us improve the features of the program.

Here's how:

  1. Go to the Gear menu and then select Feedback.
  2. Type in your feature request in the description box.
  3. Once done, click on Next.

You can check out this article to learn how to personalize the layout of your sales forms in QuickBooks: Customize Invoices, Estimates, and Sales Receipts.

If you need to split your estimates into as many invoices, you can browse this article to keep the payments organized: Progress Invoicing.

Please keep us posted if you need additional assistance managing and tracking your invoices in QuickBooks. We're always here to help you out.

Invoice Table Formatting Customization

  1. As far as I can tell, uploading an invoice template will only change the columns, not the rows and their functions. Please let me know if I am incorrect.
  2. Do you have any recommendations for which apps to use?
  3. Can you tell me how Progress Invoicing might help here? I'm not sure I'm understanding.

It may seem like a small issue, but whether or not I can solve this problem will determine if my company decides to use Quickbooks Online. I appreciate your help!

Invoice Table Formatting Customization

Good evening, @sbecker

Thanks for coming back and asking additional question about invoice formatting.

Question 1

You can review the import guide my colleague provides to be sure of the details with columns and rows when importing an invoice template.

Question 2

We're unable to give you a specific app to use based on your requests. However, you can review the available QuickBooks Apps to see which one fits your business best.

Question 3

The article my colleague gave above for progress invoicing was meant as a future reference. This means that looking over this link in the future could help you and your business if other questions come up about your invoices.

Don't hesitate to come back if you have any other concerns. We're always here to have your back. Take care!
