Invoices

Have multiple members and need to send them all the exact same invoice, how do I do that?

An unscheduled recurring invoice template can do this task for you, BeckSaddlebrook.

Before you create it, make sure that the members' email addresses are entered on their profiles. If they're set, you can now create a recurring template.

Here's how:

  1. Click the Gear icon.
  2. Under Lists, click Recurring Transactions.
  3. Click the New button in the upper right-hand corner.
  4. In the Select Transaction Type window, click the drop-down and select Invoice.
  5. Click OK.
  6. Enter the template name, and then select Unscheduled below Type.
  7. Enter the member's name (you can change this later to another name).
  8. Make sure to select Automatically send emails below Options.
  9. Enter the details of the invoice.
  10. Click Save template.

When it's time to create the invoices, simply go back to the recurring template and change the member's name. Do the same steps until you're finished, and all the transactions you have created will be sent automatically.

To use the template:

  1. Follow steps 1 and 2 above.
  2. Find the template.
  3. Click the Use link below the Actions column.

I do not have email addresses for every person and I have 176 invoices to send to each person.  I did the chat function and was told this isn't possible to send the exact same invoice to every single person without manually adding it to each.  Such a pain and time consuming....

First, create an Invoice for one Member > Click Save.
You've two options after that:
a) If it's one-time sending out Invoices, Click "More" at the bottom and Select "Copy" and change the Member's Name and Save. And continue the same process for invoicing the rest of the members.
2) If it's recurring type, click Make recurring at the bottom and follow the above instructions to set up recurring transactions.

Thank you for your reply, BeckSaddlebrook.

If you don't have the email address for some of the recipients, you can follow VPController's first suggestion. You can copy the invoice details and just change the name after saving. I'd also suggest getting in touch with those recipients to get their email addresses so you can send them the invoice.
