Manually charging credit card in Desktop Mac 2021

Recently upgraded to Quickbooks Desktop Mac 2021. We have multiple customers who have given us their credit card info to keep on file and to charge each time they advertise with us. After I invoice the customer I do NOT send the customer their invoice and I manually charge their credit card on file. I go into 'Receive payments' check the invoice to pay and click 'charge'. I save a PDF of the credit card receipt and send this to the customer. The payment shows up in my Merchant Service Account as deposited and also in my bank account as deposited. When I go into Quickbooks and click on Customer, 'Record Merchant Service Deposits' under 'Number' is shows 'Missing' in red. Upon researching this, I find that for Key-entered Transactions you need the following info: Customer's name, Customer's Address, Card Number, Expiration Date. It also says that Merchant Services verifies the customer address you enter with the credit card bank records. Because my customers' card info is already in quickbooks in the Customer File under payments, it never asked for their address for the credit card. I've got your back, @Pol7.

 

You'll see the word “Missing” under the Number column of the Record Merchant Service Deposits window if QuickBooks cannot match payments to their corresponding invoices. Here's how to fix this:

 

  1. Click the word Missing.
  2. If the mismatch is for an invoice, QuickBooks will open a new invoice form. 
  3. Input all the information and select Save
  4. QuickBooks inserts “Intuit Payment Service” and the amount in the memo field and replaces “Missing” with the corresponding invoice number. 
  5. The Customer custom is updated with the corresponding Customer: Job name as well.

With the suggested steps above, it's also best to create a backup copy of your company file before doing any changes. This is to ensure you have the original copy that you can restore anytime.

Thanks for your quick response. However, as I stated earlier, when I click on 'Missing' it takes me straight to a blank Sales Receipt not the customer's invoice

I'm here to sew up that you're able to fix the missing in the Record Merchant Service Deposits window. 

 

Since the source column displays Other, then the sales receipt will show up, not the customer's invoice. With this, you can complete all the necessary information in the sales receipt form and tap Save

 

After doing that, QuickBooks will replace the Missing word with the corresponding sales receipt number you've previously created. Also, customer's information will update automatically. For more information, you may refer to the QuickBooks Desktop for Mac user guide. Directly go to number on page 120

 

You can always open the Transaction List by Customer or any sales report to review the check number specified by the user when they enter a sales receipt. Then customize it to show the needed data.
