Memorized transactions list

I do all accounting for my company.  I have a memorized transaction list for the first of each month of several bills that need to be paid.  This transaction list also pops up on all my coworkers' computers also.  How can I restrict who sees the pop up transactions list as I don't want other coworkers to see the items and accidentally change the date?  I am the only one who needs to see it.

Memorized transactions list

I recommend the following to restrict who sees the memorized transactions list:

  1. Use a password-protected spreadsheet or database. This will allow you to control who has access to the list and prevent accidental changes.
  2. Use a cloud-based accounting software with user roles. This will allow you to grant different levels of access to different users.
  3. Use a combination of methods. For example, you could store the list in a password-protected spreadsheet on your computer and then share it with your coworkers through a cloud-based storage service.

Here are some additional tips:

  • Educate your coworkers about the importance of keeping financial information confidential.
  • Have a clear policy in place for handling financial data.
  • Monitor access to financial data and audit regularly.

By taking these steps, you can help to protect your company's financial information and prevent unauthorized access. I also want to remind you of the importance of data security. Make sure to have a strong password for your computer and spreadsheet, and back up your data regularly.

Memorized transactions list

It's great to have you join us here in this forum, Georgia1. I've got insights to help you manage user role permissions in your account.

In QuickBooks Desktop, modifying restriction access to users in your file, helps you create and assign roles to manage your account's financial books. There is only specific role access that can allow users to view records in Full or Partial. To help you manage these permissions, let me guide you on how to configure these options so you can keep track of user-activity in your company file.

To do this:

  1. Go to the Company menu and select Users.
  2. Select Set Up Users and Roles.
  3. Enter the admin password and select OK.
  4. Click on the Role List tab, then New.
  5. Give the role a name and description.
  6. In the Area and Activities section, select an area of your accounts. Review each area and select NoneFull, or Partial to set the role's permissions.
  7. Once you set permissions for each area, select OK to save.

Additionally, we appreciate your detailed insights @Chrissky676, this may help business owners when handling their account's data. You may also consider the information shared above, Georgia1. This will help you review and prevent accidental changes in your file.

Moreover, I've included this guide to help you review and match banking entries in your desktop program: Add and match Bank Feed transactions in QuickBooks Desktop.

We'll be available in this thread anytime you need further help managing users in your account. Please let us know in the comments below. Keep safe!

Memorized transactions list

Not sure if your questions were directly answered in the two replies, but there is no way I see in restricting user access in QB Desk Top Enterprise software. Restrictions to View / Edit is available to all other lists but not for Memorized Transaction List.
