Old Liability Balances Disappeared from Pay Liabilities tab???

We have some old payroll tax liabilities we need to clear up. The amount had been showing under Employees>Payroll>Pay Liabilities, but today when I went to make a payment, the liabilities from that quarter are completely gone. I know they weren't paid off - I can see them on my Payroll Liabilities report, and they show balances when I go into Create Custom Payments.

 

I can create a custom payment for them, HOWEVER it is mandated by the agency that I pay these electronically, something that Create Custom Payments doesn't offer me the option to pay via epayment

I need to get these payments to show up on the Pay Liabilities tab like they were previous. Seriously, they were just there yesterday (Sept 30) and now today (Oct 1) they're missing from the list completely.

You've come to the right place, ebo8302. I’m here to provide information regarding the issue of missing tax obligations in the Payroll Liabilities tab in QuickBooks Desktop (QBDT).  

 

There are several reasons why payroll tax obligations may not appear in the Pay Liabilities section. Understanding these factors is crucial for maintaining accurate financial records and ensuring compliance with tax regulations. Here are three primary reasons why your payroll tax dues might be missing:

 

  1. Unpaid liabilities are removed at the Pay Liabilities tab after 18 months from their original due date.
  2. If these payroll taxes are paid, they won't show up as outstanding dues. Once a payment is processed, QuickBooks updates your records to reflect that the obligation is settled.
  3. Unconfigured Payment Frequencies.

 

Since payments for these obligations haven't been processed, you'll need to verify your tax configuration to determine the root cause. I'll guide you on how:

  1. Go to the Payroll Center, click the Pay Liabilities section, and click Manage Payment Methods at the bottom.
  2. From the QuickBooks Payroll Setup window, hit Schedule payments.
  3. Choose a Payment (deposit) method and a Payment (deposit) frequency for all your taxes.
  4. Once done, Finish.

Additionally, you'll also need to verify payments or adjustments that may have already been applied to your liabilities, as this could explain why old liabilities are no longer visible in the Pay Liabilities section. To do this, go to the Payroll Center and click the Transactions tab. From that point, you can review the lists for Liability Checks, Liability Adjustments, or Year-to-Date Adjustments to find payments recorded during this calendar year or the previous quarter.

Payments are setup to be paid quarterly, and they haven't already been paid. Still not showing up.

Thanks, but that doesn't solve my issue...

I need it to appear back on the list... and I need to be able to pay it via electronic payment.

I understand that dealing with unpaid liabilities in QuickBooks Desktop is your goal, @ebo8302. Let me provide more detail on your concern about restoring old Payroll Liabilities in QBDT.

 

To note, there's no way to restore old unpaid liabilities in QBDT. These liabilities are automatically removed from the Pay Liabilities tab 18 months after their original due date. However, you can still pay them electronically by logging in to the Electronic Federal Tax Payment system or contact them, as they also accept payments via phone call.

 

Once you've taken care of the payment, you can manually record it in your QBDT. I'm here to guide you through the process.

 

  1. Go to Employees.
  2. Select Payroll Taxes & Liabilities.
  3. Choose the Create Custom Liability Payments.
  4. A new tab will appear. Enter the date range of the paychecks you issued and hit OK.
  5. Once your unpaid liability will show, click it and hit the Create record your payment.
