Open Balance on A/P Bill Payment that can't be fixed.

I have an open balance on a Bill Payment that is not correct but I can't seem to correct it?  Anybody know how to fix this?  I deleted it and re-entered it and it didn't fix it. 

 

I've attached the aging showing what I'm referring to.

Thanks for responding.  I called Intuit support and they figured it out.  The person before me posted a payment in September and applied it to invoices dated November and December so when I run the aging for October, it shows a $25k credit because November and December haven't happened yet.  I changed the date of the invoices to prior to the Bill Payment date and it fixed the issue.

Hey there, Rick.

 

You've come to the right place. The Bill Payment (Check) in your picture seems to be a credit balance to the Instore Products, Ltd vendor. For example, if the vendor's bill was for $25,000, but you created a Bill Payment for $50,000, it will display exactly as it is in your AP Aging Detail report. This can only be resolved by assigning the payment to additional bills so the Open Balance reduces, or changing the amount of the payment to match the single bill.

 

I'll create and explain this process in a video example below:

 

  1. From QuickBooks Online, navigate to the Reports tab. Type Aging in the search bar and select Accounts payable aging Detail.
  2. Notice that I've created two bills for vendor Books By Bessie in the amount of $25,000. Then I open one, create a Bill Payment (Check) for the transaction for $50,000, and make sure only that bill is checked.
  3. Now the Bill Payment matches the one in your screenshot: amount of $50,000, but with $25,000 remaining in Open Balance. By opening the check again and checking off the second bill, it clears the item from the aging report.

 

 

Based on this information, the quickest way to determine the issue's cause is by running the aging report and opening the transaction from there to verify if the Amount Paid (in the top-right corner) is more than the total amount of Bills checked off in the list below. From there, resolving that open balance with the instructions above will be a breeze.
