How do I change the final invoice amount on a progress if it turns out to be more than was originally estimated?

Hello @jnet1,

 

Thanks for writing here.

You can edit the amount in the due field.

And save the invoice as usual.

NB: You may receive a popup like "Cancel" or "Go over" choose Go over.

Progress Invoicing

It's good to see you here in the Community! I can show you how to change the final invoice amount in QuickBooks Online.

 

When you go over the total amount, your estimate gets automatically closed. I agree with the user's suggestion to edit the progress invoice and correct the amount.

 

Here are the detailed steps and screenshots for your visual guide:

 

  1. On the left navigation bar, select Sales.
  2. Go to the Customers tab.
  3. Click the customer's name.
  4. Open the invoice.
  5. Edit the amount.
  6. Hit Save and close.
  7. Review your transactions.

Progress Invoicing

What do I do if the amount on a line is less hours than quoted?  I changed it, and it shows a less amount by the line item, but is not recalculating the total to reflect that.

How about if the amount of hours estimated turns out to be less?  The line item is showing an amount as "-", but the total is not being recalculated to reflect that.

Let me provide some details about progress invoicing, jnet1.

 

The estimate and invoice are linked which would keep your books accurate. QuickBooks automatically fills in the invoice from the information of the estimate. You can update your estimate to make sure it recalculates the total amount of your invoice.
