Pass along a Stop Payment Fee to a customer after their payment didn't go through

Hi all. A Customer paid us on an invoice, and then for some reason placed a stop-payment on a whole series of checks, one of which was our payment. They didn't communicate with us, so we only discovered there had been a stop payment when our bank informed us (and charged us for having deposited it). We contacted the customer and they agreed to pay us the invoiced amount (by cash this time) and also cover the stop payment fee. We have recorded the stop-payment fee as a bank fee as far as our bank account goes, but what do we do with:

1. The original invoice and payment

2. The billing of the stop payment fee to the customer

We are on Quickbooks desktop. Thank you!

It's good to have you here in the QuickBooks Community, @michaelfaulkner. I'd be delighted to assist you in sorting out this issue about stop payment fee in QuickBooks Desktop. 

 

For the original invoice and payment, you can void or delete the original customer payment. Let me guide you on how: 

 

  1. Go to the Customers menu and select Customer Center.
  2. Select the Transactions tab.
  3. Select Received Payments.
  4. Find and open the receipt or payment.
  5. Go to the Edit menu and select Delete.
  6. Select Save & Close.

 

For the billing of the stop payment fee to the customer, you’ll want to mark the bill as billable for stop payment fee to the customer. You have the option to mark all expenses as billable from the Preferences page.

The other option is to mark your bills billable when creating a bill.

Additionally, you can always run the Transaction List by Vendor report to check the bill status. Then customize to see specific details and memorize the report to save the data. Check out these articles to guide you along the way:
