Progress invoicing

My QBO all of sudden won't let me progress bill?? I have estimates that a week ago I partially billed and now it keeps trying to bill the entire estimate. I have switched it to allow it to progress billing and keeps switching back??? This is horrible!!

I understand the importance of creating partial invoices of your estimates, cmax.

 

Currently, we have an ongoing investigation about the Progress invoicing feature that keeps turning off while converting the estimates partially. Please be assured that our engineers are working diligently to resolve this problem.

 

I recommend contacting our QuickBooks Support Team so that you'll be added to the list of affected users. This way, you'll receive email updates on the investigation's status and be notified once it's been resolved. I've included the steps to contact support below. 

 

  1. Go to the Help (?) icon at the top.
  2. On the Assistant tab, click Talk to a human.
  3. Enter  INV-92094 in the Type something field, then click the Send icon.
  4. Click on I still need a human.
  5. Select Get help from a human.
  6. You can either select Chat with us or Have us call you.

Once resolved, you can start invoicing your estimates.

 

Additionally, you can run the Estimates & Progress Invoicing Summary by Customer report. It will give you the complete list of all estimates and connected progress invoices. Here's how:

 

  1. Go to Reports.
  2. Search for and open the Estimates & Progress Invoicing Summary by Customer report.
  3. Personalize it to view the details you want to see.

Has this issue been resolved? I will be using Progress invoicing for the first time in QBO. I don't need to wrestle with software issues at this time.

Enabling progress invoicing can help streamline your customer sales transaction and organize payments received to your account, AstroGirl. I can share updates to ensure this feature works best in your online data.

 

It's a great notification to know the investigation mentioned above has already been resolved and is working effectively for all other users. If your QuickBooks Online account is in the new invoicing experience, progress invoices are not supported by this new layout. You may continue using the old invoice format to enable this feature to run seamlessly.

 

Since you're using progress invoicing for the first time, let me help you set up and create templates to send these invoices to your customers. To do that:

 

  1. Go to Settings ⚙ and select Account and Settings.
  2. Under the Sales tab, click Edit ✎ from the Progress Invoicing section.
  3. Turn on the Create multiple partial invoices from a single estimate switch.
  4. In the Update your invoice template? window, choose Update.
  5. Select Save, then Done.

Progress invoicing

Hello -

I have used progress invoicing in QBs Desktop. I decided to set up my QBO client with Progress Billing and the option keeps turning off for me. I have tried to turn it back on in the app and the web browser and it continues to turn off.

Thanks for reaching back out, @AstroGirl. I have some actions you can take to keep your Progress Invoicing feature enabled.


Before that, please know that progress invoicing isn’t supported in the new invoice experience or layout. You need to switch to the old format to utilize the feature.

If you’re using the old one, you can perform some troubleshooting steps to resolve this. An online platform like QuickBooks Online (QBO) uses cache to run faster. However, this can sometimes become corrupted, which can affect some functionalities.

 

To start, open your QBO account in a private or incognito window. Incognito Mode is an online privacy feature that prevents your browsing history from being stored. This mode lets applications run smoothly without any data damage.

 

Here are the shortcut keys below for quick navigation:

 

  • Google Chrome: Ctrl + Shift + N
  • Safari 11 or newer: + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Microsoft Edge: Ctrl + Shift + P

 

Once logged in, set up progress billing. If the option no longer keeps turning off, get back to your regular browser and clear its cache. You can also use other supported browsers as an alternative.

I spent some time today with QBO support. We changed my invoice to the "old layout" and the progress invoicing feature is working. But now I have another question. I created an invoice from one estimate and (wierdly) the balance column next to the invoice shows $0. In addition, when viewing the "all sales" view, it shows the original balance of the estimates, not a declining balance as invoices as created. This is not helpful insight for management who are looking for a snapshot of future revenue. This may distort forecasting future revenue.

Progress invoicing

I'll explain the possible reasons as to why the balance column next to the invoice shows $0, AstroGirl.

 

The balance column represents the outstanding balance due on the invoice. It will only become 0 if there's a payment or credit applied to it. To check this, we can open an invoice and clear any linked payment/ credit. Here's how:

 

  1. Go to Sales.
  2. Select All sales.
  3. Find and select the invoice that shows a $0 balance.
  4. Click Edit invoice to check if payment is received or credits are applied.
  5. Hit Clear Payment if you want to remove the payment.
  6. Click Save and close.

 

Regarding your concern when viewing all sales and the estimates showing the original balance, this is the default for QuickBooks.

 

I understand you want to see a declining balance in your estimates as invoices are created. However, this feature is currently unavailable. I recommend that you send your feedback to our product engineers.

 

Additionally, you can run an estimates&progress invoicing summary report to view the invoiced amounts and remaining amounts to be invoiced: Run reports in QuickBooks Online.
