A warm welcome to the Community, florencefitzwater.

I'd be glad to help you with matching your deposit and sales receipt in QuickBooks Online.

To match your deposit and sales receipt in QuickBooks, you can create an invoice and receive the payment twice. One payment for cash and one for a check, and deposit them to Undeposited Funds.

For cash:

Check payment:

Once done, you can record a bank deposit for both payments. See the sample screenshot.

After that, you can match them to your sales receipt.

To know more about the matching process, check out this article: Categorize and match online bank transactions in QuickBooks Online. It provides more details on how to find a match manually as well as spitting and excluding them.

Let me know how it goes by leaving a reply below. I want to make sure you're all set and able to match them in QuickBooks. Have a great rest of your day!

Thanks for coming back, @florencefitzwater. You don't invoice with payments to a sales receipt.

To give you an insight, you create a sales receipt when a customer immediately pays for the transaction at the time of sale. To learn more, you can check out this article about using an invoice or sales receipt

When the transaction is posted to your connected bank account, that's the time you review and match them in QuickBooks. Here's how:

  1. Go to your Banking tab and find the downloaded transaction with the Match option in the Action column.
  2. Note the DateDescriptionPayee, and amount spent or received.
  3. Click the downloaded transaction to expand the view and review the Matching records found in QuickBooks.
  4. Make sure this is the correct match. In particular, review the Deposit toPayment method, and Bank account fields on forms for the existing transaction in QuickBooks.
  5. If this is the correct match, close the open transaction. Then, select Match.

For future reference, read through this article: Customize invoices, estimates, and sales receipts. It helps you learn about personalizing your sales forms to make them look more presentable.
