Setting up autopay at the customer account level in QB online

I am trying to find out if QB allows for autopay to be set up at the customer account level?  We have customers who have signed our autopay agreement for us to charge their bank/credit card on the due date of their invoices.  The amounts fluctuate and there may be more than one invoice per month.

 

We are invoice based and not balance forward billing.

QuickBooks Online lets you set up automatic payments for recurring invoices with Autopay. However, you can't modify the transactions you set up to recur. Once you edit any of the fields mentioned below, the Autopay will be canceled:

 

  • Total amount
  • Frequency
  • Terms
  • Payment options
  • Email address
  • Customer name

 

Since your invoices have inconsistent amounts, I recommend using a sales receipt. It'll automatically charge the customer without manually paying the transaction.

 

  1. Go to the Gear icon and select Recurring transactions.
  2. Click New.
  3. Select Sales Receipt in the Transaction Type drop-down menu, then click OK.
  4. Enter a template name.
  5. From the Type drop-down menu, choose Scheduled.
  6. Choose the customer, then verify the email.
  7. Set the interval, then enter the start and end date.
  8. Add the payment method and then Save template.

Alternatively, you can also create a regular pay-enabled invoice instead. However, the customer will pay for the entry manually.

Hi, I went in to set up this process and noticed a hiccup.  This is based on the frequency of paying all outstanding invoices daily, weekly, monthly, yearly, etc.  I'm looking for a way to set these up based on each invoice's due date.  There are times a customer has multiple invoices during the month.  Each are Net 10.

My original response didn't post.  The options show as daily, weekly, monthly, yearly on a set day.  We have customers who are billed multiple times during the month, with Net 10 on each invoice.  Is there a way to set it up at the account level for invoice due date(s)?

Autopay for invoices based on each due date at the customer account level is unavailable. I'd recommend sending feedback to our product developers so they'll consider adding this feature in future updates.

 

Here's how:

 

  1. Sign in to your QBO account.
  2. Go to the Settings icon and select Feedback.
  3. Enter your product comments and suggestions.
  4. Click Next to submit.

To Clarify - Currently, recurring transactions for autopay are available in QBO, allowing your customers to pay their invoices automatically at regular intervals.

 

This functionality is not based on due date either, right?

 

I will submit this recommendation and look at the other options.  Unfortunately, we will need to manually handle "automatic payments" based on due date.

The recurring transactions with the autopay feature aren't based on due dates. Instead, it relies on the schedule set when creating the recurring invoice.

 

After a customer enables autopay, payments are processed according to the following set interval:

 

  • Three days before the invoice due date
  • Immediately if it's less than three days. If an invoice is due on receipt 
  • At the moment of invoice creation by the recurring template, if the invoice is marked as due on receipt

Meanwhile, I suggest looking for a third-party application that offers this functionality in our QuickBooks Apps Store. Then, integrate the app into QuickBooks Online.
