Switching from Quickbooks Professional desktop (2012) to Quickbooks online

Hi,

My company is currently using the Quickbooks Professional Desktop US software from 2012 and has to update the system to a more recent version.

Does anyone know if the current Quickbooks online US includes the "Add Item" feature for invoicing? Setting up items is essential for us and we want to update only once we are sure this feature is included in the latest online versions of Quickbooks.

Thanks!

Switching from Quickbooks Professional desktop (2012) to Quickbooks online

Welcome aboard to the Community, laetitia1.

You'll be happy to learn that you can either enter items directly on the Invoice page or through the Products and Services section. I'm here to show you how to complete these tasks in QuickBooks Online (QBO).

Here's how:

  1. In your QBO company, tap the New menu in the upper left and select Invoice under Customers.
  2. Click the Customer drop-down and choose the name of your client from the list.
  3. Fill in the fields with the right information.
  4. Under the Service Date column, input the correct date.
  5. In the Product/Service column, choose the item or service from the drop-down or press the Add new link to enter the product or service.
  6. Tap the Save or Save and new button.

On the Products and Services page:

  1. Go to the Sales menu on the left panel and choose Products and services.
  2. This will take you to a screen that lets you input the item or service.
  3. Click the New button in the upper right to open the Product/Service information window.
  4. From there, select any of the following options: Inventory, Non-inventory, Service, or Bundle.
  5. Then input the item details and click Save and close or Save and new.

For more information on the process, see the Add product and service items to QuickBooks Online article Along with a video for visual aid, it contains instructions on how to manage the items.

For older versions of QuickBooks Desktop (QBDT), install a trial version of QuickBooks 2021, then open your company file from there. This is because some information does not make it to the online platform. Check out this article to see a detailed list of how features and data are transferred from the desktop program to the online platform.

Before switching to the online version, you can take the test drive for QuickBooks Online (QBO). You can play around since it doesn’t save any changes you make and learn about the features available in the program.

For future reference, the following resources detail all of the procedures for migrating your QBDT file to QBO as well as the actions you should take following your desktop file's transfer to the online platform:

If you have any further questions about the conversion process or how to add items to your invoices, click the Reply button and type them into the field box. I'll get back to you and answer them. I wish you continued success with your company.

@laetitia1

You can purchase the one time license for QBD 2021 to upgrade your version. Otherwise, you should wait until next week to purchase the subscription license for QBD 2023.
