Unapply/void a refund on QuickBooks Desktop

Hello there, Bambi.

Let's work this out so you can delete/void a refund and complete your tasks in QuickBooks Desktop (QBDT).

To address this issue, I recommend trying the following steps:

1. Ensure that you have the necessary permissions to delete or modify transactions in QuickBooks Desktop. User roles and access levels can affect your ability to make changes. You can view all roles and their permissions by running a Permission Access by Roles report.

Here is how to do it:

  1. Go to the Company menu, then select Users
  2. Select Set Up Users and Roles.
  3. Enter the admin password, then select OK.
  4. Click the Role List tab, then select View Permissions.
  5. Select the roles you want to review, then select Display.

For more information about creating and assigning roles to your users, you can refer to this article: Create and manage users and roles in QuickBooks Desktop Enterprise

2. Keep in mind that transactions such as reconciled entries or those related to closed periods may have restrictions on deletion or modification. Confirm if the entry you are trying to edit falls under any such restrictions.

3. Ensure the refund is not linked to other transactions, such as invoices or payments. If it is, you need to unapply those first.

In addition, here's an article in case you'd like to give your customers a refund for their credit card payments: Void or refund customer payments in QuickBooks Desktop.

You can also check this page about attaching documents to transactions: Attach documents to transactions in QuickBooks Desktop.

Keep me posted if there's anything else you need about this concern. I'll be around to help you out. Have a good one!
