When attaching a receipt to a transaction using "Show Existing", my uploaded receipts don't show in the list

I've uploaded receipts into QBO using the email feature and they are now showing in the Receipts tab. When I view the transaction that I want to add a receipt to and click "Show Existing", the uploaded receipts don't appear so I can't add a receipt to the transaction.

The Receipts tab sometimes shows a potential match and that's great, but sometimes not as the amounts in the Receipt are different from the bank feed due to a credit card surcharge being added. This is why I want to be able to manually add receipts when looking at the transaction that's been entered previously using the Show Existing feature.

Thanks

When attaching a receipt to a transaction using "Show Existing", my uploaded receipts don't show in the list

Hello @squidworm,

I'm here to help you resolve the issue you're experiencing when attaching receipts to transactions using the email feature in QuickBooks Online (QBO).

To ensure that your receipts can be successfully attached to transactions, please follow these guidelines:

  1. Take a picture of your bill or receipt using your mobile device. Ensure that the photo is clear and legible.
  2. Save the photo with one of the following file types: PDF, JPEG, JPG, GIF, or PNG. These are the compatible formats for receipt attachments in QBO.
  3. You can send multiple receipt images in one email. The email attachment's file size must be between 46KB to 20 MB.
  4. Email the image to your custom email address @qbodocs.com. It may take a few minutes to send and it may take a few minutes for the email to be sent and processed by QuickBooks.

If you're still having trouble, we can try to troubleshoot the issue by opening your QBO account in a private or incognito window. This will help us identify if the issue is caused by cache-related problems. Here are the shortcuts you can use to open a private or incognito window:

  • Google Chrome: Ctrl + Shift + N
  • Mozilla Firefox: Ctrl + Shift + P
  • Safari: Command + Option + P

If you're able to view the email receipts, then we'll need to clear your regular browser's cache. This will delete the browsing history and make your browser to function efficiently.

However, if the issue persists, I recommend using other browsers. This way, we can check if this is a browser-related issue.

To know more about this feature, you can check out this article: Email receipts and bills to QuickBooks Online.

I've added this article that you may use to personalize your sales forms: Customize invoices, estimates, and sales receipts in QuickBooks Online. This way, you'll be able to show through design or layout what your business offers.

You're welcome to post again if you need further assistance. We're always available to help you.

Thank you for your reply, but I'm not having the issue that you've given an answer for.

I can email and upload receipts and see them in the Receipts tab. No problem with this.

When I look at a transaction which is already in the Quickbooks Register and click "Show Existing" to see a view of attachable receipts, I get nothing to choose from for attaching to the transaction.

I'm including an image of the Receipts tab and also the transaction with the Show Existing window displayed. I hope this helps to show the problem I'm having.
