How can I sync mileage from QuickBooks Time to QuickBooks Desktop?

I would like to start billing clients for employee's mileage. Can I sync that data from QuickBooks Time to QuickBooks Desktop Enterprise?

How can I sync mileage from QuickBooks Time to QuickBooks Desktop?

Let me help you sync your mileage from QuickBooks Time (QB Time) to QuickBooks Desktop (QBDT).


To answer your question. Yes, you can sync data from QB Time to QBDT. However, you'll need to integrate both systems using a web connector or direct method.


If you want to use Web Connector, you need to set up your QBDT first. Once done, set up the integration in QB Time. Please note that Time doesn’t change any info in your QuickBooks Desktop company file during the integration process. The only info that QuickBooks Time exports is approved time data. Employee pay rates don’t import, only payroll items.


Here's how:


  1. Sign in to QuickBooks Time as an admin.
  2. Select Feature Add-ons, then Manage Add-ons.
  3. Select Install next to QuickBooks Desktop Integration.

After the integration, understand how data syncs from QB Time to QBDT.


  • Any time you sync data after you set up the integration, you need to be on the same computer you set up the integration on.
  • You can sync data each time you update info in QuickBooks Desktop that needs to be updated in QuickBooks Time.
  • When you sync data in the Web Connector, it both imports data and exports hours if there are new approved timesheets.
  • We don’t recommend using the Auto-Run feature in the Web Connector. If it’s necessary, set the frequency to 60 minutes or greater. ​


Moreover, items that export to the weekly timesheet in QuickBooks Desktop include customer, payroll item, service item, class, billable, and notes. Notes can be found in the description field. Here's how: 


  1. Sign in to QuickBooks Time as the admin.
  2. Open QuickBooks Desktop and the Web Connector on the same computer.
  3. - Sign in to QuickBooks Desktop as admin and in single-user mode.
  4. - In QuickBooks Desktop, select File, then App Management, and select Update Web Services. The Web Connector opens.
  5. Select the appropriate company file, and choose Update Selected.
