On Call/Called In Pay-Quickbooks Time and Quickbooks Desktop

Our team lead has multiple rates of pay and I am struggling with how Quickbooks Time is sending it over to Quickbooks Desktop.  I have already learned to and successfully set up multiple pay rates for other employees, the scenario for the team lead is different and leading me to struggle.  Example:

 

Hourly Rate=$25.00/hour on all weekdays

Hourly Rate=$28.00/hour on all weekend and all holiday hours

On Call Rate=$3.00/hour

Called in Rate=$38.00/hour

 

I have "customers" set up as "On Call" and "Called In" and it doesn't seem to recognize the hours logged to that "customer" allowing it to map the correct pay.  Any help???  I have tried the other discussions and multiple mappings without success.  Thank you in advance

I understand your frustration with setting up multiple pay rates for your team lead in QuickBooks Time and integrating it with QuickBooks Desktop (QBDT).

 

To assign payroll items based on specific customers, service items, or classes, set an employee default first, then select the override setting. Please know that you can only choose one item to map.

 

Here's how:

 

  1. After mapping payroll items by employee, select the QuickBooks drop-down arrow in QuickBooks Time.
  2. Hit Preferences.
  3. Select the Payroll Item Mapping Tool.
  4. Tap Settings.
  5. Click the Allow overrides by: box, select CustomerService Item, or Class.
  6. Once done, click Save.
  7. On the Map Customers, Map Service Itemsor Map Classes tab, select + Add Override.
  8. Choose a customer, service item, or class (whichever displays), then expand the new override option. 
  9. Under each hour type column, select a payroll item. 
  10. Repeat until each Customer, Service Item, or Class is appropriately mapped.
  11. Changes save automatically. Close the window when the mapping is complete.

 

However, if you don't want to map, employees can select their payroll items when they clock in and out. Before choosing this option, set up defaults by the employee to ensure time off is mapped correctly.

 

To let employees select their payroll items:

 

  1. Click the QuickBooks drop-down arrow and pick Preferences.
  2. Select the Payroll Item Mapping Tool.
  3. Tap Settings.
  4. Choose Let Employees choose Payroll items.
  5. Hit Save.

When you say "let employees select their payroll items" are you meaning they select the customer when they clock in and that triggers the pay mappings?

Yes, you're right, Imbart. 

 

But before employees select their payroll item, ensure to set up an employee default before you assign payroll items based on specific customers. Once you're done,  If you do want not to do any mapping, you can have your employees select their payroll items when they clock in and out so time off is mapped correctly.
