Payroll Report & locked timesheets

Payroll Report was run for all of September but Monday of current week was 30th September. It has locked staff out from entering their hours. How do I unlock it to allow staff to enter on the 30th?

I'm happy to share some steps to unlock the hours for your employees, @KerryFNDC.

 

Please know that when an employee has an existing approved timesheet for a date later than the one you want to enter, QuickBooks Time will lock the user from entering a new timesheet for any earlier dates.

 

To enter a new entry for a past date before, we'll have to unlock the newer approved timesheets first. Follow these steps:

 

  1. Click the QuickBooks dropdown and select Unlock Exported Time.
  2. Choose a Start Date and an End Date.
  3. Select All Employees to select which employees you want to unlock time for.
  4. Review and then select Unlock Timesheets.
  5. On the pop-up message, hit Confirm Unlock.
  6. Go to the Approvals menu.
  7. Set the report date range, then in the Status dropdown, select Approved.
  8. Click Unapprove next to the team member’s time you want to unapprove.
  9. Hit Unapprove and unlock time to confirm.

 

Once done, enter a new timesheet for September 30, then approve and export the timesheets again.

 

Take note that you are still able to unlock your time sheets even if they are used in your invoices or payroll. If you're going update any amounts on those entries, the changes will not flow to those transactions.

Hi There, 

I do not have that drop down tab like in the snip you have attached. I have attached a snip to show what is available to me.
I still cannot unlock it - if you could please advise.

Let me guide you on how to undo approved timesheets in QuickBooks Online Payroll. Here's how:

 

  1. Go to the Payroll tab.
  2. On the Manage Employees dropdown menu, select Approve timesheets.
  3. Set the date range of the timesheets you would like to unapprove.
  4. On the Status select Approved.
  5. Tick on the timesheet you would like to unapprove and select Undo timesheet.

 

Once done, check your QuickBooks Time account to verify if you can edit the timesheet and export them once more to QBO. If the issue persist, I recommend checking in with our Customer Care Team. That way, they can check the timesheet with you in a secure form.

Payroll Report & locked timesheets

Thank you thats good to know thats how i do it if someone puts something through that needs to be undone. 
However my issue is that staff are unable to fill in timesheets due to being locked out due to the payroll report. I need to undo the report and redo it to different dates so that the staff can fill in their timesheets. 
I cannot follow the instructions given in a previous reply as I do not have that drop down tab available, so not sure what to do.

Hi Kerry,

 

I would recommend contacting directly our Chat or Phone support team through the Help icon in your QuickBooks Online account. That way, one of our Care Team can take a look on the locked report and why you don't have the drop down options provided by my colleague.

 

To contact support: 

 

  1. Sign in to QuickBooks Time, and select Help Image of Get Help icon..
  2. Select Product Help and search for existing articles.
  3. If you can't find an answer to your question, select Contact Us.
  4. Enter your concern, then select Continue.

Drop by again in the Community if you have other questions about QBO.
