A/P Aging

When I pull a A/P Aging report, it shows credit balances <90 days, and when I look at them, they are bill payments. Why? and how do I get them to not show as credit balances, since the credits have already been applied?

@admarie021   Well, that is typically because the vendors in question have more credits applied to them than their bills within QuickBooks can cover.

 

The two most obvious things to start looking for are duplicate credits or missing bills.

Thank you for your speedy response! I have checked both and there are no duplicate credits and the bills far exceed the credits. Can you think of any other reason this is happening or how to get them removed?

Hi there, this is my first time using this feature. I am not sure if my response posted. I double checked, no duplicates and bills exceed credits many times over. Can you think of any other reason this could be happening? It is not for all of the bill payments, only some. How can I get the credit balance not to show on the report since it isn't accurate?

@admarie021   Sorry, I'm pretty much out of juice today; that's all I got, except to suggest sharing some screenshots of the problem, see if anything sticks out that might not have gotten conveyed in the OP.

 

In any case, there are more than a few smart customers who also visit this board regularly to answer people's questions. One of them will probably see this today, dunno their schedules.

Normally payments don't appear in the aging because they're fully applied to one or more bills. This happens when the bill payments are not fully applied to bills.  To fix it, edit the payments and apply them fully to one of more of the open bills.

Thank you! Is there a way to edit the payments after they have been completed and reconciled, or do I have re-process the bill pay?

Yes, open the bill payment check and then mark the bills it should pay in the voucher area of the check.

Okay, however it does not allow me to adjust the amount due to reflect discount.

Thank you for that! I did use Bill Pay and I applied the credits that way, I am asking if there is a way to edit a payment that has already been made to include discounts without deleting it and re-processing the Bill Pay. Or once a Bill Pay has been completed and QB reflects the bill pay, that is it and you are not able to edit.

No, there's no way to add a discount to a bill payment after it's created.

 

But, there's also really no need to do that. Missed discounts can be applied to the vendor's account later, as previously mentioned.

Why are the pay bills showing as credit balances that are available to use? I have included a screenshot of what I mean. I processed these through "pay bills" and applied the credits to the invoices. The amount of bills paid is way larger than the amount of credits applied.
