Accessibility of detailed information in one report?

I worked for decades with a company (supplying fishing vessels and processors in the Alsaka fishing industry) that bid estimates on multiple orders for many of the same items at the same time. Not all incoming product on the estimates would be delivered to us at the same time or price. Nor would our expected delivery date to various customers have the same dates. It would be challenging for sales to place specific bids for items with multiple Po's for the items and know what the "highest" incoming price was to be able to bid the lowest price to get the business but not show too low of a margin or even a loss. We wrote a query that allowed to provide that information. Took some time to refine it.

 

So, what I am looking to learn if QB can do is offer a method for showing by Item sorted by class: Po's, prices, expected arrival dates, and allocations on estimates and sales orders with various outgoing ship dates.

If not all, what portions of the above mentioned elements can I get in a single report for sales to make informed bid estimates?

Are there other ways to perform tasks?

Hoping y'all know something. It's a big ask isn't it?

Good to see you again, Kenny. 

 

I hope the fishing business is doing well despite these times. I have a way to help you pull the report you need. 

 

It's not that much of a big ask, but we can definitely do this in QuickBooks Desktop. What we're looking for is a customized transaction detail report.

 

We can add the purchase orders, estimates, and sales order on it. Then, we can add the columns to display the expected arrival dates, allocation, and other data. 

 

Here's a step-by-step process: 

 

  1. Click the Reports menu, then hover your mouse on Custom Reports.
  2. Choose Transaction Detail.
  3. Click the Customize Report button.
  4. Head to the COLUMNS section. Then, check Date or Ship Dates, Class, Item,Item Description, and Amount.
  5. Go to the Filters tab.
  6. Search Transaction Type in the box, then select Multiple Transaction Types in the drop-down menu. Check Purchase Orders, Estimates, and Sales Order
  7. Search Posting Status in the box again, then choose Non-posting.
  8. Once done, hit OK

Select Class in the Total By drop-down menu to group the transactions by class. You can also add or remove other columns before running the report, too. 

 

This is what it looks like after we set the report parameters:

If you need this report in the future, you can memorize this. Simply click the Memorize button at the top of the report header. Enter a name for it, then click OK
