Do we have an option to totally delete an unused account from the chart of accounts? I wanted to delete one my accounts from there but it only give me an option to make it inactive. No, I don't want to make it that way and makes it stays still in my QB. I want an option to delete.please help
Yes, andiie46. I'm here to guide you through the process of deleting an unused account from the Chart of Accounts.
When you delete (or make an account inactive), it will be removed from the Chart of Accounts and any other areas where accounts are selectable. However, any associated transactions will remain in your company data and can still be accessed via reports.
To delete an account, you will need to merge it with the Services Income account:
Note: you can merge non-inventory items, products, and services. Keep in mind that once accounts are merged, the original account can no longer be used. Here’s how to merge these accounts:
For more details on which default or special accounts can be deleted, edited, or merged, refer to Manage default and special accounts in your QBO Chart of Accounts.
You can also enlist the help of a QuickBooks-certified bookkeeper to manage your chart of accounts: Check out QuickBooks Live.
Please let me know if you have any other questions about deleting accounts in QBO. I'm always here to help you!
Ughhh this is making me nuts. I dont want to merge..Just give me an option to delete.
Also, the account I want to delete has no
duplicate. How should i be able to merge it
with something that has already the same
name just like what you're doing. It seems
like you created a duplicate one but i dont
have duplicate. Please I need jist to delete
not merge or making inactive
Thanks for following up with the Community, andiie46. I appreciate your detailed information.
Merging accounts is only possible for accounts that have duplicates of themselves. Each duplicate account to be merged must have an identical Account Name, Account Type, and Detail Type.
Also, you'll want to be aware that merging accounts leaves one account existing at the end. Your duplicate account would disappear and seem to not exist any longer, meanwhile it's been merged down into one account.
Intuit recommends making an account inactive if you're looking to delete it in QuickBooks. Before doing so, you'll want to be sure to reach out to an accounting professional to check on the specifics of doing so and confirm such a change is right for your books.
If you're in need of one, there's an awesome tool on out website called Find a ProAdvisor. All ProAdvisors listed there are QuickBooks-certified and able to provide helpful insights for driving your business's success.
In the event you've never used an account before, or its balance is $0, you can easily make it inactive. If you inactivate an account you've used, it can be difficult to undo. Since accounts rely on eachother to stay balance, deleting data from one can affect everything else.
You can learn more about deleting accounts in our Make an account inactive on your chart of accounts article to better understand how it all works.
As for permanently deleting an account, I can certainly understand how such an ability could be useful and have submitted a suggestion about it as of today.
