Add a contacts information in Vendor and Customer Contact List reports

I am trying to print out a report for both Customer Contact List and Vendors Contact List that includes the contact's first name, last name, phone number, and email address. When I try to customize either of these reports I only get the option to display the name of the primary or secondary contact as one field.  I need to have the first name and last names as separate fields. In addition, I also need to include the contact's phone number and email address, not that of the company. Something like this list below

 

Vendor,

Vendor Main Phone,

Primary Contact First Name,

Primary contact Lst Name,

Primary Contact Phone,

Primary Contact Email

 

Is it possible to generate a report like this?

Let me share with you the steps on how to customize Customers Contact List and Vendors Contact List reports to show the details that you want. 

 

Here's how:

 

  1. Go to Reports.
  2. Click on List.
  3. Choose Customer Contact List.
  4. Click on Run.
  5. Go to Customize Report.
  6. Make sure to put a checkmark beside the First Name, Last Name, Phone, and Email or any other details that you want to appear on the report.
  7. Click OK.

Follow the same steps under Vendors Contact List.

I have tried the instructions that you posted but when I go to customize the report it does not include any information for the contacts listed in the contacts area of the vendor or customer center. It seems like the Vendor Contact List and Customer Contact List reports can only pull the names of primary and secondary contacts and only as one field. I need their first and last names as separate fields.

Thanks for coming back. Let me help you create the report you need in QuickBooks Desktop, NewVistaCorp.

 

The Vendor Contact List and Customer Contact List reports will show you the Customer and Vendor name with the complete name. However, you can customize it to first and last names as separate fields. Wherein, the Customer,  First Name, and Last Name will show in the report. To do this, follow the steps below:

  1. Go to Reports on the top menu. 
  2. Click on List.
  3. Choose Customer or Vendor Contact List.
  4. Tap Customize Report.
  5. Enter Name in the Columns field, and choose First Name and Last Name. 
  6. Press OK.

 

If you'll want to show the First and Last Name only, then that option is unavailable. You can export the report to Excel and from there remove the Customer or Vendor column. You can check out the Customize reports in the QuickBooks Desktop article to modify the reports in the software.

That will give me the first name and last name of the vendor or customer, not the first name and last name of the customer contact.

I've run the same report on my test file and was able to see the columns suggested by my colleague RCV

 

Here's a sample screenshot of what my report looks like:

 

 

I'd also like to know more about what you meant by the first name and last name of the customer contact. You can share a sample screenshot of the report in your reply. Please take note to grayed out any sensitive information for security purposes.

This is a screenshot of one of our vendors.  On the contacts tab I have made a sample Primary Contact and filled in the contacts First Name, Last name, Work phone, and Main Email address. Note that the phone number is different than the Vendor's Main Phone Number and that The Contact has a Main Email address filled in but the Vendor does not. In the Customer Contact List I want to see the information that has been highlighted in yellow.

When I run the Vendor Contact list as you suggest I get what is in the following screenshot. Note that the fields outlined in red are pulled from the Vendor's information, and not the contact's information.  I need the first name, last name, email, and phone for the contact highlighted in yellow. The only option when you customize Report is for the contact's full name.

Thank you for your reply, I should have thought to include screenshots originally.

 

The screenshot below is for one of our vendors.  I created a fake contact in the contact list and highlighted the information that I am looking to include in the Vendor Contact List report. Please note that the contact has a different phone number than the Vendor's Main Phone and the contact has a Main Email address while the Vendor does not.

When I run the Vendor Contact List as suggested I get the following results:

 

The fields outlined in red are pulled from the Vendor's information, not the Contact's information like I need. The only option for the Contacts in the Customize Report is to display the Primary and Secondary Contact's full name. I need the First Name, Last Name, Work Phone, and Main Email of the Contact highlighted in yellow.

Hey NewVistaCorp,

 

Thank you for providing those screenshots.  At times in QuickBooks Desktop, customers' and vendors' profiles link can become broken.  For this situation, I would like you to create a new vendor profile and merge the vendors. Here is how: 

 

  1. Go to Vendors, then click the Vendor Center.
  2. Use the drop down and select New Vendor under New Vendor.
  3. Add the same information from the previous vendor. For this to work, please ensure the information matches. After typing the vendor name add a letter or number. For example, A-1 Plating Company 1.
  4. Save the information.
  5. Once saving the new profile, right click the  vendor name and select Edit.
  6. Remove the 1 from the name and save the changes.
  7. You will get a warning message. "This name is already being used, Would you like to merge them?", select Yes to confirm.

 

Now that the profile would have been re-linked, go ahead and run the reports again. Let me know if you were able to see the first and last name from the customization. If the issue persist, it would be best to run a verify and rebuild to resolve any data issues and re-run the report. This article is very helpful with that.

This is all helpful, but is there a way to filter the customer contact list by product/service? We have different business lines and different services. I would love to be able to pull the customer list by service, if possible! thanks!

Let me assist you with your concern about filtering a report in QuickBooks Desktop. Although this option to filter the customer contact list by product/service isn't currently available, I can guide you to a workaround to achieve this goal.

 

First, you can run a Customer Contact List report and export it as Excel or PDF. Then, run a Sales by Item Detail report and customize it, adding the Name as the filter and using All customers/jobs as the filter type. Export it again as Excel or PDF. Then, you can manually combine them outside QuickBooks Desktop.

 

Furthermore, you can also learn how to memorize reports in QuickBooks Desktop so you can access them easily in the future.
