Add-on sales: associate individual transactions with Project

I'm trying to get this payment channel set up correctly, and need guidance on what's "proper" to account for..? I'm using projects to try to track P&L for individual jobs (not just customers). I have individuals who order add-ons afterwards, and pay via Stripe. I don't (think I) want to change these transactions to the original customer, as that organization isn't paying. But I'd like to track the income as coming from that customer's project - and retain the individual's name. FWIW I'm using Acodei to link Stripe with my QBO. It was't working but I just forced a sync and got new data in. Now I notice the discrepancy in accounting for this additional income as coming from the original project. Is there a way to do this? Or am I overthinking it..?

Add-on sales: associate individual transactions with Project

Hi there, Morton.

I can assist you in properly accounting for these transactions and linking them to the original project.

Since you are using projects to keep track of the profit and loss for specific jobs, and you are facing difficulty in accounting for add-on sales paid via Stripe, you'll have to enter a sales transaction in QBO and assign it to your project so it will be included in your project income. It could be an invoice or sales receipt transaction. You can watch through this article for more details: Use projects to track project income and costs in QuickBooks Online.

On the other hand, if the sales are directly coming from Acodei, you'll have to handle the discrepancy first. To assist you in fixing the discrepancy, I would like to ask what happened during the syncing of your transactions through QBO or whether an error message has popped up.

For syncing issues, I recommend contacting directly to Acodie's support. They have the right tools to determine the cause of the issue and apply a solution to the problem.

After that, you can also consider running project reports in QuickBooks Online to show specific reports for your project's income.

You're always welcome to post here on the Community page for additional assistance in using projects to track project income in QuickBooks Online. I'd gladly assist you anytime.

No error, the transactions simply appeared with the customer's name. It didn't look like I could attribute it to a Project without changing the name to the Project, which of course changed all the contact info.

Add-on sales: associate individual transactions with Project

There's no way to add a Sales Receipt to a Project (that I can see), and if I simply create a new sales receipt for the add-on sale then the only way I can match it to the project is to input the primary client's info (the Project name). That loses the individual's name/info who made the extra purchase.
There has GOT to be a way to do this..! Wedding clients may have someone other than the bride order an extra print, etc... So how can I show that this extra income is part of the Project's P&L??

Add-on sales: associate individual transactions with Project

Let me share some information about adding a sales receipt to a project, MortonVisuals.

In QuickBooks Online (QBO), you can only select the primary client to match the sales receipt to the project and not the customer who made the extra purchase.

As a workaround, you can add the details of the extra income in the description field when creating the transaction. This way, you'll be able to identify that the transaction is the extra income that is part of the project's P&L.

Moreover, you might want to check this article to track income, expenses, timesheets, and labor costs: Track hourly labor costs and profitability by project in QuickBooks Online.

Notify us if you have follow-up questions about the project in QBO. We'll be around the corner to assist you.
