Adding a surcharge automatically to a customer Invoice

I am trying to add a surcharge to an inventory item for a set amount. We will call it a material surcharge. We need the invoice to have the retail price invoiced and the surcharge to be a seperate line item, but having to do them all individually is extremely time consuming, especially since the amount doesn't change very often. Can this be automated to add when a part is invoiced?

Here is an example of what I am trying to do:

Part# 449875's retail price is $867.00 EA. The material surcharge is $93.00 EA and needs to add automatically.

INVOICE

1 EA Part # 449875 $867.00

1 EA Material Surcharge $93.00

Total Invoice $960.00

Adding a surcharge automatically to a customer Invoice

Good day, @Alex R-AMC.

For now, the option to add a surcharge to an inventory item is unavailable in QuickBooks Desktop (QBDT). You'll have to manually create a non-inventory or service item to enter the additional charge.

Here's how:

  1. Go to Lists and select Item List.
  2. Enter the item name such as Surcharge or any name that can identify it.
  3. Select the account and enter its rate.
  4. Click OK when you're done.

After creating the item, you'll have to add it as another line item in your invoice to record the surcharge.

I can see how this option would be helpful for you and your business. Therefore, let me take note of this as a suggestion to improve your QuickBooks experience.

You can also visit our Firm of the Future site. This is where we share recent happenings and future developments, such as updates to newly added features.

Here's additional info in case you need to add, edit, and delete items in QBDT.

Adding a surcharge automatically to a customer Invoice

Hello @quality testing,

I'm glad to see you dropping by here in the Community. I can share information about how you can add the fuel cost as surcharge in QuickBooks Desktop.

You can create a service item for the surcharge. I recommend you set the rate to the decimal percent (for example, 25% = 0.25) during the setup.

You'll want to add a subtotal after adding your items to separate when adding a surcharge. Here's how to create a Subtotal item:

  1. Click the List tab at the top menu bar.
  2. Select Item List.
  3. On the Item List window, select Item, then press New
  4. Set the Type as Subtotal, then add a name for it.
  5. Once done, click OK.

Once done, proceed with creating the item for the fuel surcharge. Please follow these steps:

  1. Click the List tab at the top menu bar.
  2. Select Item List.
  3. On the Item List window, select Item, then press New.
  4. Set the Type as Service, then enter % in the Rate box.

There are times that you need to update the details of your existing items. I've attached a link you can use as a reference on how to customize or remove items in QuickBooks: Add, edit, and delete items.

Keep us posted if you need anything else regarding the setup process or entering a surcharge. I'll be happy to help you some more.
