AR Report and Bad Debt written off

I have some accounts that the debt was written off to a bad debt account.  This debt is not recoverable and the customers have been made inactive with a zero balance showing on the customer card. However, They are still showing up on the AR report with a zero balance.

 

Is there a way to remove them?  We have to write off bad debt annually for a couple of accounts a year and the names are starting to build up on the report and are confusing the clients when I provide financials to them.

I've replicated the same steps that you've took. If you have successfully written off the bad debt in your customer's account, they shouldn't be showing in your A/R reports. 

 

There might be a data issue in your company file that's causing this behavior. I'd be glad to share with you some steps that can correct the data in your A/R reports. 

 

Let's start by updating QuickBooks Desktop (QBDT) to its latest release. This can keep your software up-to-date so you always have the latest features and fixes.

 

Here's how:

 

  1. Go to the Help menu and select Update QuickBooks Desktop.
  2. Click the Update Now tab. 
  3. Select Get Updates to start the download.
  4. When the download finishes, restart QuickBooks.
  5. Once prompted, accept the option to install the new release.

 

If you're still getting a similar result, run the Verify and Rebuild Data tools. These tools can help us identify the commonly known data issues within a company file and fix them.

Yes, this happens when within the detail of the customer's transactions some of them are unpaid. Typically this is a payment that is not applied or not fully applied to the intended invoice(s), for some reason.

 

To see the unpaid transactions, double click on the customer's total due amount. Then use Receive Payments to apply unpaid payments and credit memos (possibly other types of transactions as well) to the sales they should be applied to.

 

Journals and Credit Memos, perhaps used to reduce the customer account balance top 0.00, will appear as outstanding credits you can apply to unpaid invoices.
