Beginning Balance Problem

In November, my client migrated from Quickbooks Desktop to Quickbooks Online. I also started with him in November and did some major work in the checking account, reclassifying hundreds of expense transactions to new expense accounts. But when I attempted to reconcile the checking account for the month of December, I got a major shock: a 51 page Reconciliation Discrepancy Report. For some reason, the transactions that I reclassified the expense account are showing as “reconciled in register.”

This makes no sense because the transactions were already reconciled before I edited them. I did not reconcile them in the register and I haven’t changed the amount or the bank account, only the expense account. I don’t know why these types of transactions are in the Reconciliation Discrepancy Report at all. Let me attach the audit log of one the transactions on the Reconciliation Discrepancy Report to show the changes I made:

I’m wondering if the problem is arising from editing reconciled transactions that were migrated into QBO from Desktop? Does anyone have an idea of what could be going on?

Let's review reconciliation status to identify the transactions that cause the discrepancies, John. I'm here to help you fix these concerns.

When transactions are migrated from QuickBooks Desktop to QBO, their reconciliation status remain intact. Reconciled transactions in the register will have an R under the column with check mark (✓) in QuickBooks Online. On the other hand, if you edit these entries, it can affect the reconciliation records and trigger discrepancies.

Here's how you correct it:

  1. In your QB Online account, click Transactions under Menu.
  2. Proceed to the Chart of Accounts.
  3. Locate the account you want to reconcile, then click View register and look for the transactions changed.
  4. Under the Reconcile (✓) column, click on the blank field or C to mark the transactions as reconciled (R).
  5. Hit Save and select Yes to confirm.

After completing this, your starting balance should display the accurate amount. For additional assistance on manually reconciling bank transactions and removing their reconciled status, you can refer to this article: Undo or remove transactions from reconciliation in QB Online.

Once done, you can now proceed with the reconciliation process. Refer to this article for future reference: Reconcile an account in QB Online.

Thank you for your reply. Yes, I was aware of the process to manually reconcile transactions in the register. However, I don’t think this is the problem in my client’s books because the reconciliation status of the affected transactions has not changed. For verification, I picked a random transaction on the Reconciliation Discrepancy Report. I then went to the checking account register and found that exact transaction. It is already reconciled.

I think there must be a different issue at hand.

We appreciate your patience and efforts in addressing your concern, John. I'm here to clarify a few details on my end and provide a possible resolution.

Before we proceed, I’d like to inform you that we have removed the screenshot you attached to protect your sensitive information. Please be cautious when sharing details that may expose confidential data.

You're correct, changing the category of your reconciled transactions will not affect their reconciliation status. However, transactions may appear in the Reconciliation Discrepancy Report if they impact or alter the opening balance.

Since you've reclassified the transactions, it’s possible that you changed the account type, such as switching from an expense account to an asset account. The appearance of these transactions in the Reconciliation Discrepancy Report provides a solid starting point for addressing the issue. Each transaction has implications for the opening balance, so I recommend reviewing them closely to identify and resolve any discrepancies.
