Buy nowI just found out that I can't get employee costs into the estimates vs actuals reports in QB online advanced unless I mark time entries as billable time. I have been marking all time as unbillable because I invoice customers from estimates not bill them for actual time. Is there an easy way to go back and mark many weeks of time billable so I can do the estimate vs actuals report for a big project to show the labor costs without unapproving each time entry one by one to change unbilled to billable? Also, if I go back and unapproved time, edit and re-approve time, is it going to mess up my payroll records in any way?
Hello there, TMoore.
Yes, there’s an easier way to include your employee costs in the Estimates vs Actuals report without having to manually unapprove each time entry one by one to change them from unbilled to billable. You can use the Estimates vs Actuals by Project report to view employee costs, even if the time entries are not marked as billable.
Here's how:
Also, make sure your Labor Costing Method is set to Hourly Costs to ensure accurate reporting.
Regarding your second question, manually unapproving, editing, and re-approving time entries won’t interfere with payroll, as long as you do not change the hours worked and only adjust the Billable option. Doing this will ensure the entries appear in the Estimates vs Actuals report. This option is also a good alternative if you wish to view employee costs in this report.

I’d love to assist you, but I’ll need a bit more information to better understand how I can help. Are you looking for tips on managing the Billable Time feature in QuickBooks, or is it something else? Any details you can share would be super helpful in finding the right solution.
Looking forward to hearing from you.
