Hello there, Danny.
When you say random changes to your bills, do you mean there are changes made to your bill by the system? I hope you can give me more details about your issue so we can properly address your concerns. Can you send me a screenshot so we'll be able to check what is happening?
Anyway, if you have any other concerns, let me know so we can get back to you as soon as possible. We're always here to help.
Yesterday, whilst entering a Bill for a vendor, I noticed that there were several unbilled Purchase Orders for a vendor who would normally have no unbilled Purchase Orders associated with them.
After running an audit report, QuickBooks claims I added an Expense item called PayBill on July 3 – see row 1076 of the attached audit report.
Then over 1,000 Bills & Bill Payments were edited within the next 10 minutes all between the random days of Sept 2021 & Dec 2023. Many of the items originally associated with all these bills have been removed and replaced with one random line item – PayBill.
This has not only created unbilled Purchase Orders that were previously billed but it has also changed financial reports including profit and loss reports for the random period between Sept 2021 & Dec 2023.
Clearly this is some sort of glitch but I have no idea how to fix it as QuickBooks don’t offer a restore point from a previous backup as the file is constantly saved on their servers.
Do I need to manually change over 1,000 transactions to restore my records?
I have just opened Melio to sync with Quickbooks and noticed the last sync was date stamped the same time as the audit report stated I created PayBill expense etc
Let me help you take care of this and direct you to the right support, Danny.
Based on your screenshot, the changes made to the bill payment by the system is an odd behavior. To fix this, I recommend reaching out to our support team so they can take a look and investigate further. They have the tools to pull up your account in a secure environment. Follow the steps on how you can reach them:
In the meantime, you can manually edit the transactions to the correct what has been edited.
Furthermore, QuickBooks provides different kinds of report that caters to your business needs. You'll only have to customize them to make sure you get the data you need most. I've added this article for more information: Customize Reports in QuickBooks Online.

I just sync Melio with Quickbooks and noticed the last sync was at the exact same time Quickbooks claims I created the PayBill expense item and over the next 10 minutes immediately after that, over 1,000 bills and bill payments were edited.
Thanks for the prompt reply, Danny.
Let me direct you to the best help for your bill issue.

Melio through quickbooks online also made 6 pages worth of edits (somewhere around 24 per page) mostly from 4 am to 4:15 am when nobody was logged into the computer. Most were to bills from 2021 and 2022 but a couple were current this year. Most were nuisance like removing my separate lines of freight, material, supplies and combining them to one. Taking away employee purchase lines and moving everything into freight etc.
but also duplicate checks were written from back in 2021 or 2022 that threw off the financial reports.
I asked Melio to disconnect completely.
Is quickbooks online now free from random edits in my name?
We appreciate you reaching out about this matter, Tricia. Ensuring the security of your account is our utmost priority and we want to make sure you feel confident using QuickBooks Online (QBO).
We are pleased to see that you're vigilant about your company file and were able to identify this unusual behavior.
As of May 21, 2024, we have discontinued Bill Pay powered by Melio in QBO. However, users can still use the third-party app integration to sync information in QBO.
QuickBooks will rely on Melio for data synchronization, since you have confirmed that you have fully disconnected Melio from your file, there shouldn't be any more data syncing from Melio to your file.
Nonetheless, we want to ensure that you don't encounter the same situation again. In the event that you face a similar scenario, I recommend reaching out to Melio's live support to help you identify the root cause of the issue and find a resolution.
Additionally, we wish to draw attention to pertinent resources within QuickBooks that could greatly aid you in managing your bills and understanding these changes:
